Senior Executive Assistant Job Invitation
Remote | Part-Time to Full-Time | Long-Term Growth Role
Tijon Consulting Ltd is a UK-based consultancy supporting public sector organisations, local authorities, charities, and social housing providers to deliver operational change, service redesign, process improvement, and technology-enabled transformation.
We work with clients on complex change initiatives, including housing management systems, Dynamics 365 implementations, process redesign, compliance programmes, project delivery, stakeholder management, and board-level reporting.
I’m also a husband, father of three, church pastor, property investor, and business owner. This role is therefore designed for a highly trusted, discreet, organised, and proactive person who can help bring structure, clarity, follow-through, and calm across professional, business, ministry, family, and property commitments.
This is not a basic admin role. We are looking for someone who can grow with the company and become a genuine executive operations partner over time.

Key Responsibilities
1. Executive Diary, Calendar and Time Management
You will manage and coordinate multiple calendars across client work, business development, ministry, family, and personal commitments.
Responsibilities include:
• Managing diary conflicts across multiple client roles and responsibilities.
• Scheduling meetings, calls, reviews, and follow-ups.
• Preparing weekly diary summaries and priority plans.
• Protecting focus time for deep work, business development, family, rest, and ministry preparation.
• Ensuring the Founder is prepared for key meetings before they happen.
• Maintaining a simple weekly rhythm, including planning, review, and follow-up sessions.

The Founder uses multiple
Responsibilities include:
• Monitoring agreed inboxes and flagging urgent items.
• Categorising
• Drafting replies for review.
• Tracking unanswered
• Creating a daily or twice-daily
• Helping build simple inbox rules, labels, and filing systems.
• Ensuring nothing important falls through the cracks.
You may also help track WhatsApp actions where messages relate to business, ministry, family logistics, or property matters. You will not be expected to respond to sensitive pastoral or personal messages without approval.

3. Meeting Preparation, Notes and Action Tracking
You will help reduce the burden of meetings by making sure each meeting has a purpose, preparation, notes, and follow-through.
Responsibilities include:
• Preparing agendas and meeting packs.
• Capturing minutes, actions, decisions, risks, and dependencies.
• Maintaining action logs and chasing owners.
• Preparing summaries after key meetings.
• Keeping the Founder organised before and after client, church, property, and business meetings.
• Helping turn discussions into clear next steps.

4. Client Delivery and PMO Support
Tijon Consulting delivers change and transformation projects for public sector and social housing clients. You will support delivery administration and reporting.
Responsibilities may include:
• Maintaining project action logs, RAID logs, decision logs, and meeting trackers.
• Supporting the preparation of highlight reports and progress updates.
• Formatting documents, reports, packs, and presentations.
• Supporting document control in SharePoint, Teams, OneDrive, or similar platforms.
• Tracking client commitments and deadlines.
• Helping organise project information so it is easy to retrieve and reuse.
• Supporting basic research and preparation for workshops or stakeholder meetings.
Experience in project coordination, PMO, business analysis, or consulting support would be valuable.

5. Business Development and Growth Support
The Founder wants to spend more time growing the business. You will help create the structure to make this possible.
Responsibilities may include:
• Monitoring public sector tender portals and relevant opportunities.
• Maintaining a business development pipeline.
• Researching target organisations, local authorities, housing providers, charities, and consulting opportunities.
• Supporting proposal preparation, case study collation, CV updates, and bid documentation.
• Maintaining a library of reusable business documents and templates.
• Tracking networking actions, follow-ups, and potential leads.
• Helping organise content, thought leadership, and business improvement ideas.

6. Ministry and Church Administration Support
The Founder is also a pastor of a local church. You will support administrative and coordination tasks that help ministry work run smoothly.
Responsibilities may include:
• Managing church-related calendar items and reminders.
• Helping prepare programme schedules, action trackers, and admin notes.
• Supporting event planning administration.
• Tracking follow-up tasks and ministry-related commitments.
• Preparing draft messages, announcements, or basic communication for review.
• Organising documents, plans, and ministry admin materials.
You must be comfortable working respectfully within a Christian ministry context. You do not need to provide pastoral advice or spiritual counselling.

7. Family and Personal Operations Support
The Founder is a busy father of three and needs support keeping family and personal logistics organised.
Responsibilities may include:
• Maintaining a family calendar and reminder system.
• Tracking appointments, school dates, birthdays, renewals, forms, and key deadlines.
• Helping organise personal admin tasks.
• Creating weekly personal task summaries.
• Supporting household planning where appropriate.
This area requires discretion, maturity, and respect for privacy.

8. Property Business Administration Support
The Founder also has a small property portfolio of four houses, managed by a management company. From time to time, administrative support is needed.
Responsibilities may include:
• Tracking property-related actions, certificates, renewals, maintenance items, and communications.
• Following up with managing agents or service providers.
• Organising property documents.
• Maintaining a simple property action tracker.

Essential Skills
• Executive assistant, operations assistant, project coordination, or senior virtual assistant experience.
• Excellent diary and inbox management.
• Strong written English and document formatting skills.
• Ability to take meeting notes and track actions.
• Good attention to detail.
• Ability to manage confidential information.
• Good working knowledge of Microsoft 365, Outlook, Word, Excel, Teams, SharePoint, and OneDrive.
• Comfortable using task management tools such as Microsoft Planner, Trello, Asana, Notion, ClickUp, or similar.
• Ability to work independently and communicate clearly.

• Experience supporting consultants, project managers, founders, pastors, executives, or professional services businesses.
• Experience in PMO support, project reporting, RAID logs, action logs, and stakeholder reporting.

• Familiarity with tender portals, proposal support, or bid administration.
• Experience using Power BI, Power Automate, CRM systems, Dynamics 365, Jira, Azure DevOps, or similar tools.
• Experience supporting UK-based clients.
• Familiarity with social housing, repairs, compliance, transformation, or technology implementation would be a bonus.

Working Hours
This role is remote. We are open to part-time or full-time candidates. The ideal starting arrangement may be 20–30 hours per week, with potential to increase to full-time depending on performance, fit, and business needs.
You must be available for some UK working-hours overlap, especially in the UK morning or early afternoon.
Occasional flexibility may be required for urgent deadlines, but we value sustainable working practices and clear communication.

Compensation will depend on experience, capability, working hours, and whether the role is part-time or full-time.
