Remote Executive Assistant & ClickUp Operations Manager (Full-time)

About the Company
We are a fast-growing international fashion/ lifestyle & retail brand with operations across USA, Europe, a new warehouse in China, and a strong Shopify/DTC presence. We are scaling quickly and are looking for a true right-hand to bring structure, follow-up and operational excellence to the entire business.
The Role
We are seeking a proactive, highly organized and tech-savvy Virtual Assistant / Operations Manager who will own and optimize our ClickUp workspace while acting as Executive Assistant to the Founder. You will transform the current workspace into a clean, professional and scalable system, and ensure that all departments (Finance, China Operations, Supply Chain, Shopify/DTC, HR, Product & R&D) run smoothly and efficiently.
Key Responsibilities
• Fully design, implement and own the new ClickUp structure (5 Spaces with folders, lists, dashboards, templates and automations)
• Daily and weekly follow-up on all tasks, deadlines and projects across departments
• Create weekly summary reports and proactively flag overdue items, bottlenecks and priorities for the Founder
• Coordinate between international teams — especially the new China warehouse (labeling, packing, shipping), sourcing, logistics and Shopify/DTC
• Prepare meetings, take notes and manage action points
• Execute ad-hoc projects, research and executive support
What We’re Looking For
• 2–4+ years experience as Virtual Assistant / Executive Assistant / Operations VA for e-commerce, retail or scaling businesses
• Expert-level ClickUp knowledge (you must be able to restructure an entire workspace from scratch — this is non-negotiable)
• Excellent written and spoken English (professional communication)
• Remote with reliable high-speed internet and a quiet, dedicated workspace
• Strong overlap with European working hours (CET) — flexible full-time availability (30–40 hours/week)
• Proactive, detail-oriented, ownership mindset and ability to work independently
• Bonus: experience with Shopify, Google Workspace, Slack, Zapier or similar tools
