Who We Are:
Ji Martial Arts is a martial arts brand founded by brothers Joel and Joshua Iyalla. Joshua is a 3x British Taekwondo Champion and Guinness World Record holder. Together they are content creators with a combined 3.5 million followers, known for high-energy martial arts content, world record attempts, and comedy challenges.
The brand was built on that audience. Our content drives awareness, and our products — resistance bands and martial arts equipment — are sold worldwide via our Shopify store.
We are a small, fast-moving team. We don't overcomplicate things. We expect the people we work with to take ownership of their area, communicate clearly, and get things done without being chased.
Your Role:
You are the Operations Manager for Ji Martial Arts. Your job is to keep the business running smoothly across four core areas — YouTube content, UGC, finance and organisation, and
You are not just executing tasks. You are managing and building systems, documenting them, and making sure everything is replicable without you having to explain it twice. When something looks off, you flag it. When a process could be better, you say so. Growth is always on your mind — whatever you're working on, you're always asking how we can do it better.
If Joel and Joshua go away for weeks, the business doesn't just survive — it thrives. That is the standard we are hiring to.
What You Own:
1. YouTube Long-Form Content:
You own the end-to-end workflow for 7 videos per week. The system is built. You run it, improve it, and grow it. This includes idea generation using our Notion bot, managing the editor through briefing and approval, scheduling, thumbnails, titles, and descriptions. You own the performance data and bring a clear point of view every week on how we grow the channel.
2. UGC Creator System:
You oversee our UGC pipeline — onboarding creators, managing their deliverables, and maintaining the content bank in Airtable and Notion. You keep the pipeline clean and always look for ways to improve the quality and output of the creator pool.
3. Organisation & Finance:
Notion and Airtable are our operational nervous system. Xero is our financial backbone. You keep all three clean, current, and easy to navigate. You create SOPs and Loom walkthroughs for every process so nothing lives only in someone's head. You flag financial anomalies early — nothing slips.
4.
Joel and Joshua run the ads day-to-day. When we're unavailable, you step in fully — writing scripts, briefing the editor, reviewing creatives, and uploading to Ads Manager with the correct copy and settings (You’ll have SOP’s to follow to make this easy). You handle it independently and flag us only when something genuinely needs our eyes.
5. Run the Business:
This is the underlying point of everything above. If Joel and Joshua are away for four weeks, six weeks, or longer — the business does not slow down. It grows. You are not a caretaker. You are the person who keeps Ji moving, improving, and scaling in our absence. Every system you build, every process you document, every decision you make should be with that standard in mind.
Tools You'll Use:
*(Includes but is not limited to)*
| Notion | Operating hub — SOPs, scripts, content system |
| Airtable | UGC content bank and pipeline management |
| Xero | Financial tracking and reconciliation |
| YouTube Studio | Scheduling and performance analysis |
| Meta Ads Manager | Ad backup — campaign management and uploading |
| Loom | SOP and process documentation |
| Claude/ chatgpt | Expediting efficiency and brainstorming |
How Your Week Works:
- YouTube — scripting, editor coordination, scheduling, and performance review on a rolling weekly basis in line with the 7-video target
- UGC — creator communications and pipeline management are ongoing
- Organisation — Notion and Airtable are always tidy; Xero is never left to fall behind, statements reconciled weekly
- Ads — when needed, you're ready to step in without a handover
Who We're Looking For:
- Proven operations or systems management experience — we will not be your training ground
- Strong Notion skills — fluent and able to optimise existing workspaces
- Comfortable with Airtable and basic financial literacy in Xero
- Experience building SOPs and documenting processes via Loom
- Experience coordinating remote creative teams
The person: proactive, self-directed, communicative, intuitive, growth-minded. You don't wait to be told what to do — you tell us what you're doing. Radio silence is not in your
How We Communicate:
- A brief message at the start of your day — what you're working on
- A summary at the end of the day — what got done and what didn't
- Weekly video call with Joel and Joshua — sync, progress, priorities
- All communication via WhatsApp group
We are not micromanagers. What we expect is simple: we never have to chase you.
Growth & Progression:
This starts at ~15 hours per week at $8–$10/hr. As Ji scales, hours increase, your team grows beneath you, and your pay grows with it. We are scaling fast and actively looking to hand more of the business over to the right person. This is a long-term role with real progression — not a short-term contract.
