JOB OVERVIEW

An operator-style Executive Assistant who can run the “delegation engine” day-to-day: triage, follow-through, systems, and keeping priorities moving across work and home. Experience is a must because this role needs someone who already understands proactive support, delegation playbooks, and executive rhythm.

Key Responsibilities

1) Inbox + communications

Daily inbox triage: label, prioritize, draft replies, follow-ups, and reminders
Keep response times tight; escalate only what truly needs a decision
Maintain templates and “reply library” for repeatable messages

2) Calendar + scheduling

Own calendar hygiene (prep, buffers, conflicts, time-blocking)
Schedule internal/external meetings, travel calls, contractors, vendors, etc.
Create weekly agenda + daily “what matters today” plan

3) Project + task management (high follow-through)

Turn goals into task lists, assign owners, chase updates, close loops
Maintain dashboards for recurring work (property tasks, invoices, renewals, etc.)
Document simple SOPs so tasks become repeatable

4) Personal + family support (light but important)

Appointment scheduling, kids’ activities coordination, basic travel planning
Gift planning, reminders, family calendar coordination when needed

5) Business support across multiple ventures
Typical categories include:

Rental properties: maintenance coordination, vendor scheduling, invoice tracking, tenant comms drafts
Franchise search / research projects: summarize findings, compare opportunities, track next steps
Agency/consulting work: meeting scheduling, proposals support, simple website task coordination
Expense reports + reconciliation support (including light YNAB support if applicable)

Tools & Skills (must-have)

Excellent written English and professional tone
Strong judgment: knows what to handle vs. escalate
Task management mastery (ClickUp / Asana / Notion / Trello—any is fine)
Comfortable learning new tools quickly; process-oriented

Nice-to-have

Past experience at Athena, Support Shepherd, Wing, or similar EA firms
Property management software experience (Stessa/Buildium/AppFolio/etc.)
Basic bookkeeping/invoice tracking (not full accounting)
Shopify/WooCommerce, light web ops, or ops coordination experience
Experience supporting a founder with multiple companies

Success in the first 30 days

Inbox under control with a clear triage system and draft-ready replies
Calendar consistently optimized with prep notes, buffers, and weekly planning
A working “Delegation OS”: recurring task tracker + SOPs for repeat work
Reduced context switching for the executive; fewer dropped balls
