Key Responsibilities
Business Development Support
* Research and identify potential business opportunities
* Support outreach, relationship-building, and follow-up activities
* Maintain CRM accuracy and pipeline visibility
* Ensure opportunities do not fall through the cracks
* Prepare pipeline reports and business development summaries
Executive Support & Decision Management
* Prepare executive briefs and recommendations
* Organize information into clear decision-ready formats
* Manage executive priorities and follow-through
* Track important decisions and action items
* Anticipate needs and proactively solve problems
Relationship Management
* Maintain records of key stakeholders, partners, prospects, and contacts
* Prepare briefing materials before meetings
* Track relationship history and follow-up activities
* Ensure important relationships remain engaged and supported
Calendar & Inbox Management
* Manage a high-volume executive calendar
* Coordinate meetings and scheduling
* Prioritize communications and inbox management
* Protect executive focus time and strategic priorities
Operations & Coordination
* Coordinate cross-functional projects and initiatives
* Organize events, meetings, and logistics
* Create and maintain SOPs, templates, and documentation
* Improve operational efficiency through systems and automation
AI & Process Optimization
* Use AI tools to improve productivity and workflows
* Draft communications, summaries, reports, and documentation
* Build repeatable processes that scale
* Continuously identify opportunities for automation and efficiency
What We're Looking For
Required Qualifications
* Strong B2B business development experience
* Experience managing CRM platforms (HubSpot preferred)
* Exceptional organizational and project coordination skills
* Strong written and verbal communication skills
* High level of initiative and ownership
* Ability to prioritize and manage multiple projects simultaneously
* Experience supporting senior executives, founders, or business leaders
* Strong problem-solving and critical-thinking abilities
* Comfortable working independently in a remote environment
Preferred Qualifications
* Experience working with founders, executive teams, investor groups, or fast-growing companies
* Experience in executive operations, chief-of-staff, business operations, or strategic support roles
* Familiarity with EOS (Entrepreneurial Operating System)
* Experience leveraging AI tools such as Claude, ChatGPT, or similar platforms
* Background in venture capital, private equity, startups, or executive offices
