Role Over­view:

We are seek­ing a Re­mote Ex­ec­u­tive As­sistant and Project Man­ag­er who will play a criti­cal role in sup­port­ing our lead­er­ship team. You’ll be re­spon­si­ble for man­ag­ing cal­endars, co­or­di­nat­ing projects across de­part­ments, and en­sur­ing that all tasks are complet­ed ef­fi­cient­ly and on time. This is a dy­nam­ic role re­quir­ing ex­cel­lent or­ga­ni­za­tion­al skills, a proac­tive ap­proach to prob­lem-solv­ing, and the abil­i­ty to work in­de­pen­dent­ly in a fast-paced en­vi­ron­ment.

Key Re­spon­si­bil­i­ties:

- Cal­en­dar Man­age­ment: Co­or­di­nate and man­age cal­en­dars for 3-4 se­nior lead­ers, sched­ule meet­ings, and re­solve con­flicts.
- Project Man­age­ment: As­sist in plan­ning and ex­e­cut­ing projects from idea to com­ple­tion, en­sur­ing align­ment across departments.
- Task and Fol­low-Up Man­age­ment: Track ac­tion items and en­sure deadlines are met, us­ing tools like No­tion.
- Email and Com­mu­ni­ca­tion: Man­age mul­ti­ple in­box­es, draft pro­fes­sion­al cor­re­spon­dence, and co­or­di­nate com­mu­ni­ca­tions across var­i­ous plat­forms.
- Gen­er­al Ad­min­is­tra­tive Sup­port: Pro­vide high-lev­el ad­min­is­tra­tive support, in­clud­ing doc­u­ment prepa­ra­tion, data en­try, and man­ag­ing to-do lists.

Qua­li­fi­ca­tions:

- Ex­pe­ri­ence: 3-5 years in ex­ec­u­tive as­sistance, project man­age­ment, or a sim­i­lar role, ide­al­ly in a start­up en­vi­ron­ment.

- Skills: Pro­fi­cien­cy in No­tion is es­sen­tial. Ex­pe­ri­ence with EOS (Entrepreneurial Op­er­at­ing Sys­tem) is high­ly de­sir­able.

- At­trib­ut­es: De­tail-ori­ent­ed, high­ly or­ga­nized, proac­tive, and able to man-
age mul­ti­ple tasks si­mul­ta­ne­ous­ly.

- Tech­nol­o­gy: Com­fort­able with project man­age­ment tools (e.g., Asana, Trello, No­tion) and com­mu­ni­ca­tion plat­forms (e.g., Slack, Zoom).

- Flex­i­bil­i­ty: Abil­i­ty to work re­mote­ly and ad­just to dif­fer­ent time zones.
