JOB OVERVIEW

We are seeking a detail-oriented and proactive Executive Assistant to support and collaborate with a network of financial agents. This role requires excellent organizational skills, strong communication abilities, and the capacity to manage paperwork, calls, and insurance applications efficiently.

Key Responsibilities

Administrative Support:

- Manage and organize financial paperwork, including forwarding and filing documents.
- Ensure timely and accurate processing of insurance applications and related forms.

Communication Management:

- Handle phone calls, texts, and emails with clients, agents, and external partners.
- Act as a liaison between the client and various agents, ensuring smooth communication and follow-ups.

Information Gathering & Coordination:

- Obtain and verify necessary information for insurance applications and financial planning.
- Contact clients or third parties to fulfill missing details or documentation.

Task Management:

- Keep track of deadlines, submissions, and client updates.

Proactively follow up on outstanding paperwork and ensure timely completion.

Requirements

- Previous experience as an Executive Assistant, Administrative Assistant, or in a similar role within the financial services or insurance industry is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM platforms like Less Annoying.
- Ability to handle digital documentation and manage electronic communication efficiently.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize effectively.
