Job Description:
We are seeking an exceptionally detail-oriented and highly organized Full-Time Administrative Assistant to provide comprehensive support to our Business Manager across various business operations, including Amazon, Shopify, Etsy, and social media channels. This is a full-time position (40 hours/week), and the ideal candidate must be able to manage multiple tasks efficiently, anticipate the needs of the Business Manager, and keep meticulous records. This role is not focused on managing platforms independently but rather on assisting and executing tasks as directed by the Business Manager. Key Responsibilities:

Administrative Support for Business Manager

Assist the Business Manager with day-to-day business operations, providing detailed and timely updates on various ongoing tasks.
Act as the primary point of contact for coordinating meetings, calls, and follow-ups.
Manage the Business Manager’s schedule, prioritizing meetings, emails, and other engagements to maximize productivity.
Prepare detailed reports, summaries, and presentations for meetings as requested.
Amazon Seller Central, Shopify, & Etsy Assistance

Support the Business Manager in managing listings, updating product information, and tracking performance on Amazon, Shopify, and Etsy.
Create FBA shipments, reconcile inventory, and handle basic updates as instructed by the Business Manager.
Maintain detailed logs of all actions taken and keep the Business Manager informed of changes, issues, and updates.
Customer Service & Communication Assistance

Monitor and respond to customer inquiries across all platforms (Amazon, Shopify, Etsy) as directed by the Business Manager, ensuring timely and professional communication.
Assist in compiling feedback and providing the Business Manager with insights into common customer concerns and issues.
Maintain a detailed log of all customer interactions for quality assurance and tracking.
Inventory & Order Coordination

Track inventory levels, ensuring the Business Manager is aware of any low stock items or overstock concerns.
Assist in creating and maintaining purchase orders, coordinating with suppliers and fulfillment centers as directed by the Business Manager.
Prepare detailed inventory reports and document all movements for internal reference.
Social Media & Marketing Support

Schedule and monitor social media posts, manage comments, and respond to inquiries in coordination with the Business Manager.
Assist in drafting content, reviewing graphics, and ensuring consistency with the Business Manager’s vision for the brand.
Track social media performance and compile data to provide actionable insights to the Business Manager.
Advanced Data Management Using Google Sheets

Maintain and update spreadsheets, using advanced Google Sheets skills such as VLOOKUP, pivot tables, conditional formatting, and formulas to automate processes.
Prepare sales, inventory, and performance reports for the Business Manager’s review, ensuring data is accurate and presented in a clear format.
Create dashboards and tracking systems within Google Sheets for better data visualization and project management.
General Executive Support

Manage emails, handle administrative tasks, and maintain an organized filing system for quick access to all business-related documents.
Anticipate the needs of the Business Manager and proactively address any administrative requirements.
Provide support for any additional tasks as directed by the Business Manager to ensure smooth business operations.
Requirements:

Highly skilled in Google Sheets — must be proficient with formulas, pivot tables, VLOOKUP, conditional formatting, and creating automated reports.
Extremely detail-oriented and organized — a critical requirement for this role.
Experience providing administrative support to business managers or high-level executives, preferably in an e-commerce environment.
Familiarity with Amazon Seller Central, Shopify, and Etsy is preferred but not required; the key is the ability to follow instructions and quickly adapt to new tools and platforms.
Excellent written and verbal communication skills and ability to professionally handle communications on behalf of the Business Manager.
Ability to multitask, prioritize, and remain calm under pressure in a fast-paced environment.
Must be able to work full-time, 40 hours a week.
Preferred Skills:

Experience with project management tools like Asana or Trello.
Familiarity with creating presentations, reports, and summaries for executive meetings.
Basic graphic design or content creation skills for social media management.
Work Hours: Full-time (40 hours/week), with availability for meetings during business hours (PST).
