About Us
We are a growing home service company specializing in Plumbing, Air Conditioning, Electrical, and Drain services. As our company continues to grow, we are looking for a highly organized, proactive, and dependable Virtual Executive Assistant to provide direct support to our Owner and General Manager.
This is a dynamic role where no two days are the same. Priorities can shift quickly, so we're looking for someone who enjoys solving problems, learning new skills, and helping executives stay focused on leading the business.
Position Summary
The Virtual Executive Assistant will serve as the primary administrative and operational support for the Owner and General Manager. This role is designed to help maximize their productivity by handling administrative tasks, recruiting efforts, research, communication, project coordination, and other high-priority assignments.
Success in this position requires someone who is organized, resourceful, adaptable, and able to anticipate needs before being asked. The ideal candidate enjoys taking ownership of projects, managing multiple priorities, and working independently in a fast-paced environment.
Key Responsibilities
Responsibilities may include, but are not limited to:
Executive Support
* Manage calendars, meetings, and scheduling for the Owner and General Manager
* Organize and prioritize
* Draft, proofread, and respond to
* Coordinate meetings and track action items
* Prepare reports, presentations, and documents
* Maintain organized digital files and records
* Assist with travel planning and scheduling when needed
Recruiting & Hiring Support
* Post job advertisements across multiple platforms
* Source and screen qualified candidates
* Conduct initial phone interviews
* Schedule interviews with leadership
* Follow up with applicants throughout the hiring process
* Assist with onboarding coordination and documentation
Administrative Support
* Data entry and database management
* Maintain spreadsheets and reports
* Update CRM and company systems
* Perform internet research and compile findings
* Create and improve documents, forms, and procedures
* Assist with project management and follow-up
* Coordinate with vendors and business partners
Communication & Customer Service
* Professionally answer and return phone calls
* Communicate with employees, customers, and vendors on behalf of leadership
* Handle routine inquiries and escalate issues when appropriate
* Maintain professionalism and confidentiality in all communications
Special Projects
* Complete a wide variety of business and administrative projects as assigned
* Research software, vendors, pricing, and business solutions
* Assist with process improvements and operational initiatives
* Adapt to changing priorities and take on new responsibilities as business needs evolve
Qualifications
Required
* Previous experience as an Executive Assistant, Virtual Assistant, Administrative Assistant, or similar role
* Recruiting experience, including sourcing candidates and conducting phone screenings
* Excellent spoken and written English
* Strong customer service and communication skills
* Professional and confident phone presence
* Exceptional organizational and time management skills
* Ability to manage multiple priorities with minimal supervision
* Strong attention to detail
* High level of professionalism and discretion with confidential information
* Self-motivated with excellent problem-solving skills
* Reliable high-speed internet connection
* Quiet, professional home office environment
Preferred Qualifications
* Experience supporting executives or business owners
* Experience working with U.S.-based companies
* Experience in the home service industry (Plumbing, HVAC, Electrical, Construction, etc.)
* Familiarity with ServiceTitan CRM software
* Familiarity with AI integration
* Proficiency with Google Workspace and Microsoft Office
* Familiarity with AI tools such as ChatGPT
