We're now looking for a Virtual Assistant to join our Operations team and grow with us into a long-term, full-time role.

This is not a "routine admin" job. Here, you won't just execute tasks — you'll learn to operate an AI agent (Hermes) that runs core parts of our operations, and your job is to keep expanding what it can do. You'll learn how a fast-growing quant investing education business actually works behind the scenes, while working alongside AI automation tools as part of your daily work.

WHY THIS IS DIFFERENT FROM A TYPICAL VA ROLE

- Most operations hires start by executing tasks. You'll start by learning to operate an AI agent that executes tasks — and your job is to keep expanding what it can safely do.

- We're not hiring for a resume. We're hiring for someone who gets genuinely curious about "why does this process work this way" and "can this be automated?"

- You'll get direct exposure to how a small, fast-moving team runs real operations, and grow your scope over time.


PROPOSED WORKING SCHEDULE

- Standard hours: Monday to Friday, 9:00am – 6:00pm (SGT), Saturday 9:00am – 1:00pm (SGT)

- Weekly rest day: Sunday

- Flexibility required: Some tasks may occur outside standard hours due to programme launches, live campaigns, webinars, or events.

- Example: A quick 10–15 minute task at 9pm (Singapore time), or adjusting your day's start time if there's late-night work.

- Advance notice will be given where possible, but urgent tasks must be prioritised immediately.

- You must be reachable during critical campaign and event windows.

Once you are confirmed in the Long-Term Contract Role, you'll be paid a fixed monthly salary of SGD 500, an amount that is better than the average salary you can get in your country.


WHAT YOU'LL LEARN

- How to set up, prompt, supervise, and troubleshoot an AI automation agent (Hermes) handling real business workflows

- How an investment education business tracks metrics, manages retention, and reports performance

- How to scope a manual process, redesign it, and hand it to an AI agent

- How a fast-moving team runs cross-functional execution


WHAT YOU'LL DO

1. AI Agent Operations

- Set up and operate the assigned AI automation tool (Hermes) on your own laptop by following provided step-by-step instructions

- Use it to execute assigned operational tasks; review all output before anything goes live; escalate anything unclear

- Continuously identify new tasks that can be automated


2. Student Onboarding & Programme Operations

- Manage onboarding for new student batches — access, materials, and start-up communications

- Monitor current batches and provide regular progress updates to the team

- Track graduates transitioning into advanced programmes and report on their progression

- Manage ---------- onboarding and fulfilment, including course date communications


3. Mentor & Trainer Coordination

- Support new mentor onboarding on an as-and-when basis

- Prepare and submit monthly trainer reporting


4. Enquiry & Communications Support

- Monitor and respond to the designated WhatsApp line daily, and the enquiry email inbox regularly

- Verify tier/access/payment matters against records before responding

- Respond to student enquiries professionally and escalate sensitive issues when needed


5. Content & Platform Operations

- Manage Vimeo download/upload of session recordings and related content

- Maintain Google Reviews collection and follow-up

- Monitor comments across our social media channels — flag/remove spam, escalate anything sensitive


6. Metrics & Process Improvement

- Compile and maintain monthly business metrics, including lead-source tracking

- Flag where a process should be redesigned rather than repeated


GROWTH PATH

- Weeks 1–4 (Ramp): Set up Hermes, shadow current workflows, learn the systems ( ---------- , Vimeo, WhatsApp line, reporting)

- Month 2–3 (Own): Take ownership of onboarding, mentor coordination, and reporting cycles, with Hermes handling first-pass execution

- Month 4+ (Expand): Identify and pitch new processes to automate; take on a workflow or agent project end-to-end; potential path into a permanent Operations Associate or Automation Lead role

- No prior experience required — we care far more about how you think than what you've done before

- Genuinely excited about AI tools — not just willing to use them

- Comfortable with ambiguity — figuring things out rather than waiting to be told exactly what to do

- Sharp written English and clear communication

- Organised, meticulous, and honest about mistakes early — we'd rather know something broke than find out later

- Comfortable following step-by-step technical setup instructions (no coding background needed)

- Wants more scope over time — and treats that as motivation rather than pressure

- Trustworthy — discreet, reliable, and accountable

- Someone looking for a fixed, repetitive task list with no change month to month

- Someone who wants to use AI tools only when told to, rather than looking for where else they could help

BASIC REQUIREMENTS

- Excellent written and spoken English

- A reliable laptop with webcam and strong, stable internet (frequent Zoom calls)

- Comfortable following technical setup instructions and eager to learn new AI tools

- Familiarity with Google Docs, Google Sheets, Gmail, and social platforms ( ---------- , WhatsApp, Instagram, YouTube, Telegram)

- Ability to multitask across several projects and milestones simultaneously

- Willing to occasionally work outside stipulated hours when urgent tasks arise

- Comfortable adapting to shifting priorities in a fast-paced environment

- Independent (initiative and discipline — not someone who needs chasing)

- A strong desire to improve and grow with the team
