Metro Maintenance Services is an Australian infrastructure and maintenance company providing services to government, rail, transport and commercial clients.

We are seeking an experienced Finance & Administration Coordinator to support the business as we continue to grow throughout Australia. This is a long-term opportunity for a highly organised and proactive individual who enjoys taking ownership of systems, processes and administration.

Role Overview
The Finance & Administration Coordinator will be responsible for supporting the financial administration, bookkeeping as their PRIMARY ROLE along with reporting day-to-day administrative functions of the business.

This role requires someone who is highly organised, detail-oriented and capable of working independently while maintaining excellent communication with management and taking ownership of the finance (payroll, invoicing, accounts payable, data entry with experience using Zero and preparing weekly/monthly detailed reports for our P&L's and expenditures.

Key Responsibilities
Finance & Bookkeeping
• Maintain bookkeeping records within Xero
• Process accounts payable and supplier invoices
• Raise customer invoices and maintain debtor registers
• Follow up outstanding debtors
• Complete bank and credit card reconciliations
• Assist with monthly financial reporting
• Prepare weekly cashflow summaries
• Maintain financial filing systems

Administration & Contract Support
• Maintain contract registers and documentation
• Assist with tender submissions and contract administration
• Maintain insurance, licences and business registrations
• Assist with client reporting requirements
• Maintain company databases and records
• Worked in a CRM model as we prepare for the transaction (Field Pulse or Servicem8 or similar)
• Manage company email correspondence and enquiries

Reporting & Business Support
• Participate in one scheduled tea ---------- etings each week
• Provide a weekly written report outlining:
o Work completed
o Key updates
o Outstanding actions
o Planned work for the following week
• Identify process improvements and efficiencies
• Assist management with special projects and business growth initiatives

Skills & Experience
Essential
• Minimum 3 years’ experience in bookkeeping, finance administration or business administration
• Strong Xero experience (is a must have)
• Excellent Microsoft Office skills
• Experience using OneDrive, SharePoint or cloud-based systems
• Strong written and verbal English communication
• Excellent attention to detail
• Ability to work independently

Highly Regarded
• Experience supporting Australian businesses
• Experienced in ZERO, MYBO and accounting packages
• Experienced in invoicing using clients' internal platforms
• Experience with accounts receivable and debt collection
• Experience with tender administration
• Experience with project-based businesses
• Understanding of construction, maintenance or service industries

Reporting Structure
The successful applicant will work directly with the Directors and Operations Managers across the business.
