JOB OVERVIEW

HR for Health Leaders is an Australian HR consultancy helping allied health business owners confidently hire and manage employees.

As our Client Delivery & Operations Coordinator, you’ll help ensure client projects, enquiries, deadlines and internal systems are managed smoothly.

We have a small team of 3 part time consultants and a key focus is maintaining clear workload visibility, monitoring project progress and identifying potential delays, capacity concerns or service delivery issues early.

The job responsibilities include:
• Manage Asana by converting quotes into projects, adding correspondence, monitoring project deadlines, workload and delivery risks
• Update client files after sales calls, prepare draft quote emails and quotes
• Utilise GHL to manage the client inbox, client files and pipeline
• Follow up warm leads and outstanding quotes
• Prepare weekly project reports and monthly time-versus-quote reports
• Assist with invoicing, accounts payable and Xero reconciliation
• Optimise client onboarding, workflows and automations
• Format documents, update resources and complete routine HR administration
• Create work instructions and improve internal processes
• Use ChatGPT, Claude and other tools to support reporting and administration

This is a permanent position working Monday to Friday during Australian business hours. Willing to discuss hours with successful candidate, we envisage 25-40 per week depending on scope and availability.

You must have:
• Experience in operations, project coordination, executive assistance, customer success or a similar role
• Experience working with professional services, consulting, BPO or similar
• Experience in remote working supporting an Australian or international business
• Strong written and spoken English
• Experience using project management systems such as Asana and CRM systems such as Go High Level (or similar)
• Excellent organisation, attention to detail and follow-through
• Confidence learning new systems and improving processes
• Tech savvy and able to use AI tools to optimise processes
• Experience with HR administration will be highly regarded.

You will need a reliable computer, fast internet and a suitable home working environment.

Training will be provided, with a paid 30-day probationary period.

Hourly rates will depend on experience and may increase over time with strong performance and increased responsibility.
