Job Title: Airtable Specialist (Build + Document + Train)
Budget: $1,200 USD (Fixed Price Project)

About the Project:
We are a creative agency looking to rebuild our Operations System and database. Our current Airtable setup is "spaghetti code"—it relies on manual workarounds, inconsistent data entry, and broken automations.
We are not looking for a Virtual Assistant to patch the holes. We are looking for a Systems Architect to:
1. Audit & Tear Down: Analyze our Airtable logic and rebuild the database schema from scratch so it actually works (e.g., properly linking Packages, Line Items, and Invoices).
2. Automate: Remove human error. Financials should calculate automatically using Rollups/Formulas.
3. Document & Train: This is 50% of the job. You must build a system our team can run without you. You will create video SOPs (Loom) and written guides for every workflow.
The Scope of Work (Deliverables)
We have structured this project into two distinct phases:
Phase 1: The Build (First Principles)
Re-architect the Base: Fix the relational model (specifically implementing Many-to-Many relationships for Packages/Items).
Implement "Interfaces": Create fool-proof front-end forms for staff so they never touch the raw database grid.
Fix Financials: Create automated rollups for Project Value vs. Paid vs. Balance Due. Including automate invoice generation.
Sanitize Data: Implement strict validation rules (e.g., preventing records from saving without critical data like Last Names).
Phase 2: The Handover (Education)
Video Library: Record 3-5 minute Loom videos for every core task (e.g., "How to Add a Client," "How to Issue an Invoice").
Written SOPs: A "User Manual" linking to these videos.
Live Training: Host 1-2 live Zoom workshops with our ops team to ensure they understand the new system.
Payment Milestones
To ensure quality and completion of documentation, payments will be released in milestones:
Milestone 1 ($200): Initial Audit & Schema Plan (Delivery of the "Blueprint" before building).
Milestone 2 ($600): The Build (System is live, automations work, data is migrated).
Milestone 3 ($400): Training & Handoff (Released **only** after SOPs, Videos, and Live Training are complete).
Requirements:
Proven Airtable Architecture: You understand database theory (Primary Keys, Junction Tables, Normalization).
Communication Skills: You can explain complex logic to non-technical creative staff.
Teacher Mindset: You enjoy creating documentation. If you hate recording Loom videos, this is not for you.
Business Logic: You ask "Why do we do it this way?" before you build. You optimize the *process*, not just the tool.
