Airtable + Make Automation Builder (Noloco, Milestone-Based)

We are building a student–coach portal for a US-based music education organization using a locked architecture.
This is a milestone-based implementation project (not a salaried role).
Each phase has clearly defined deliverables, timelines, and acceptance criteria, with payment released per completed milestone.
This is not a design or discovery project.
There is potential for ongoing part-time work after the build.

What You Will Build

You will implement an already-designed system that includes:

Core Functionality
• Student, Coach, and Admin roles with strict row-level permissions
• Relational Airtable schema including:
o students, coaches, colleges, deadlines, media, competitions, portfolios

Noloco Dashboards
• Student dashboard
• Coach dashboard
• Admin QA views

Forms
• Student intake
• Session notes
• Media upload

Make Automations
• Student intake ? record creation
• Session notes ? portfolio updates
• Daily deadline reminders (no duplicates)
• Weekly coach digest emails

Circle
• Basic Circle setup with links to the Noloco app

You Are Not Responsible For
• UI or design decisions
• Branding
• Copywriting
• Payments
• Mobile apps
• Custom code

Engagement Model

• Milestone-based fixed price (per SOW)
• Hourly work permitted only via pre-approved change orders
• No open-ended hourly work

Expected total effort: ~56–71 hours
Hours per week (numeric field): 20

Hours listed are an estimate only. Actual weekly hours may vary by milestone.
Payment is released per completed milestone, not per hour worked.

Long-Term Engagement (Post-Build)

This project includes an opportunity for ongoing part-time engagement after the initial build.

After successful completion of the milestone-based implementation, we expect:
• Light ongoing maintenance
• Implementation of approved enhancements
• Adjustments as the program evolves

Post-build work will be:
• Part-time
• Planned and prioritized
• Delivered via approved milestones or scoped hourly change orders

Our preference is to retain the same builder long-term, provided delivery quality and collaboration are strong.

Required Experience

You must have:
• Proven Noloco app builds (roles & permissions)
• Strong Airtable experience with junction tables
• Make scenarios using:
o Schedulers
o Date-difference logic
o Conditional routing
• Experience preventing duplicate reminder notifications
• Ability to follow detailed specs without improvising architecture
• Clear written communication and basic documentation skills

• Project-based, milestone pricing
• Hourly rate used only for approved change orders or post-launch support

We are open to fair, market-aligned pricing for the right skill level.
Skill, reliability, and system thinking matter more than the lowest bid.

Indicative benchmark: $8–12/hour (used for planning only)
