We're looking for a detail-oriented Scheduling or Workforce Coordinator to manage and optimize schedules for a large team of EMT professionals, ensuring operational coverage, compliance, and team satisfaction across a fast-paced healthcare operation.
Responsibilities
Develop, manage, and optimize schedules for 600+ EMT tea
Monitor EMT certification statuses and track renewals to maintain regulatory compliance
Process PTO requests, shift pickups, and swap requests while balancing business needs
Administer attendance monitoring and escalate patterns per HR and Operations guidelines
Act as a liaison between Operations and HR on scheduling and workforce programs
Coordinate staffing for special events and urgent ad hoc requests
Manage scheduling logistics for New Hire Academy and support onboarding activities
Utilize Excel and workforce management systems to improve efficiency and reporting
Requirements
3+ years of scheduling, workforce coordination, or operations support in a high-volume environment
Experience managing complex schedules for large teams of 100+ staff
Advanced Microsoft Excel skills including formulas, pivot tables, and data management
Experience using workforce management or healthcare-related scheduling platforms
Strong liaison experience between Operations and HR on scheduling and attendance matters
Business-fluent English proficiency
Available during Pacific Time business hours with flexibility for after-hours support as needed
Preferred
Background in healthcare, emergency services, or other regulated environments
Experience tracking certifications and compliance items for a large workforce
Experience supporting onboarding or new hire scheduling programs
