We’re a fast-growing Australian DTC e-commerce brand looking for a high-capability Virtual Assistant to support our founders across day-to-day operations, creator collaborations, admin, and analysis.
This role is ideal for someone who’s organised, proactive, and confident working across spreadsheets, research, and communication.
You’ll be working closely with two hands-on founders in a fast-paced environment where you’ll have real ownership, variety, and the opportunity to grow your hours over time.
Position Details
• Part-time to start, with potential to grow into more hours based on performance
• Remote (must work on Australia time zone AEDT, since we are based in Melbourne)
• Start date: ASAP
Key Responsibilities
Operations + Admin Support
• General admin and file management
• Desktop research (suppliers, agencies, tools, competitors, market research)
• Liaise with suppliers and vendors (quotes, ETAs, order follow-ups, issue resolution)
• Maintain trackers and systems so things don’t fall through the cracks
Data + Spreadsheet Work (Must be comfortable)
• Build and maintain spreadsheet trackers (inventory, content pipeline, supplier quotes, etc.)
• Potentially export data and do basic analysis (Shopify, Meta, Klaviyo, Recharge or similar)
• Update financial models and operational documents when required
Creator + Content Coordination (UGC / Influencers)
• Find and outreach to UGC creators and content creators in Australia that match our brand when needed
• Coordinate briefs, timelines, deliverables, and usage requirements
• Maintain and update a creator tracker (what’s pending, due dates, follow-ups, content received)
• Organise content delivery, file management, naming conventions, and storage in Drive
What We’re Looking For
• Comfortable with numerical analysis, and models
• Highly organised with strong attention to detail (clean files, clean data, clean comms)
• Strong written and spoken English and confident communication with creators and suppliers
• Comfortable with Google Sheets/Excel (formulas, filters, tidy structure)
• Proactive and resourceful — can figure things out independently and ask great questions
• Reliable, responsive, and able to work to deadlines
• Able to work in Melbourne, AEDT times
• Experience in e-commerce, marketing ops, creator management, or VA work is a big plus
