JOB OVERVIEW

Position Summary

We're looking for a highly capable, detail-oriented, and proactive Virtual Assistant to support our Insurance Team at Innovest, a New Zealand-based financial advisory firm. This role is central to keeping our insurance clients progressing smoothly through the advice and application process — from initial data entry through to policy placement.
This is not just a back-office job. You'll be the operational backbone of the team, ensuring nothing falls through the cracks, clients are followed up on time, and our advisers can focus on what they do best.

Key Responsibilities

- Process insurance applications and maintain accurate client records in our CRM
- Follow up with clients via email and phone to gather outstanding information or provide progress updates
- Liaise with NZ insurance providers and internal processing teams
- Monitor and manage team inboxes, ensuring timely and professional responses
- Handle data entry, document filing, and general administrative tasks
- Prepare reports and maintain accurate client records across our CRM platforms (Trail and Zoho)
- Support advisers with documentation, task coordination, and scheduling
- Think critically to solve problems independently and stay ahead of potential delays

Required Skills & Experience

- Preferably with 1 year of experience as a Virtual Assistant, insurance processor, or similar back-office role
- Flawless attention to detail and strong follow-through
- Excellent written and spoken English
- Strong organizational skills with the ability to manage multiple tasks simultaneously
- Tech-savvy: comfortable using CRMs such as Trail and Zoho, Excel, and Microsoft 365
- Trustworthy, reliable, and discreet with client information
- Comfortable working independently and taking initiative

Desirable Skills

- Experience in insurance, financial services, or executive/admin support
- Prior exposure to New Zealand insurance or mortgage workflows

Work Setup & Schedule

Full-time, 40 hours per week
Monday to Friday, 10:00 AM – 6:00 PM NZDT (5:00 AM – 1:00 PM PHT)
Fully remote / work from home
