Virtual Assistant (VA) – AML SoftServe
About Us

AML SoftServe provides Anti-Money Laundering (AML), Counter-Terrorism Financing (CTF), compliance, governance, and business support services to Real Estate Agencies and Accounting professionals. We are seeking a proactive and detail-oriented Virtual Assistant to support our Start-Up.

Position Summary

The Virtual Assistant will provide administrative, operational, and client support to ensure the smooth day-to-day running of the business. The ideal candidate is highly organised, tech-savvy, and capable of managing multiple priorities while maintaining confidentiality.

Key Responsibilities
Administrative Support
Manage calendars, appointments, and meeting scheduling.
Prepare correspondence, reports, presentations, and meeting minutes.
Maintain electronic filing systems and document management processes.
Manage emails and respond to routine enquiries.
Client Support
Assist with client onboarding and offboarding processes.
Maintain accurate client records and databases.
Follow up on outstanding client information and documentation.
Coordinate meetings and communications with clients.

Compliance & AML Support
Assist in collecting Know Your Customer (KYC) documentation.
Support preparation of AML/CTF documentation, policies, and procedures.

Business Operations
Update CRM systems and client databases.
Support invoicing and accounts administration.
Coordinate projects and track action items.
Assist with website updates, social media scheduling, and marketing activities where required.

Research & Reporting
Conduct internet and regulatory research.
Compile information for reports and presentations.
Prepare summary reports and dashboards as required.

Skills & Experience
Previous experience as a Virtual Assistant, Executive Assistant, Administrative Assistant, or similar role.
Excellent written and verbal communication skills.
Strong attention to detail and organizational skills.
Experience using Microsoft Office 365 (Word, Excel, PowerPoint, Outlook).
Experience with CRM systems and cloud-based applications.
Ability to handle confidential information with discretion.
Experience in compliance, AML/CTF, legal, accounting, or professional services environments is desirable.

Preferred Qualifications
Diploma or Degree in Business Administration, Commerce, Accounting, or related field.
Familiarity with Australian AML/CTF requirements.
Experience working remotely in a professional services environment.

Timely completion of administrative tasks.
Accuracy of client and compliance records.
Client response times.
Meeting compliance and reporting deadlines.
Quality and accuracy of documentation.
