JOB OVERVIEW

Overview

We operate a youth sports tournament management system that handles registrations, team management, scheduling, hotel assignments, and financial operations. We are modernizing a legacy system into a streamlined, fully digital business platform.

Position Overview

We are seeking a super-organized, detail-driven Technical Project Coordinator to join our remote team (Philippines-based). This is not a passive “admin” role—you’ll be expected to own the process, manage details, and ensure nothing falls through the cracks.

AI will be a key part of this job. The founder has deep AI expertise and will personally teach you how to use AI effectively for documentation, code understanding, and process management. We expect you to use AI as a productivity multiplier—but you must also bring organization, persistence, and problem-solving ability to ensure tasks actually get done.

Key Responsibilities

Project & Task Management (40%)

Own all tasks in Jira (using our MCP integration) to ensure nothing is missed.

Create, update, and close tickets for bugs, features, and improvements.

Track project progress and provide daily status updates.

Coordinate between development tasks and business requirements.

Keep deadlines on track and escalate when needed.

Documentation & Knowledge Management (25%)

Write and maintain clear documentation for all system features.

Build user manuals for admins, coaches, and staff.

Document workflows and business processes in Confluence.

Use AI tools (training provided) to speed up drafting, but refine and organize outputs.

Quality Assurance & Testing (20%)

Test new features thoroughly before release.

Write clear bug reports with reproducible steps.

Validate fixes and confirm workflows from different user perspectives.

Communication & Coordination (15%)

Provide daily updates (morning and end-of-day) via Slack/ ---------- .

Join weekly planning/review calls.

Be available for urgent tournament-weekend issues.

Communicate proactively—raise issues before they become problems.

Required Qualifications

Technical Skills

Familiarity with web applications (Next.js/React a plus).

Ability to read and understand code (you’ll be taught how to use AI to help here).

Experience with Jira/Confluence or similar tools.

Basic database and SQL knowledge.

Understanding of APIs and integrations a plus.

Business & Domain Knowledge

Fast learner, able to understand sports/tournament operations.

Ability to see from multiple perspectives (admins, coaches, parents).

Financial/payment system knowledge a plus.

Personal Attributes

Extremely organized—nothing slips through.

Self-motivated—works independently, no hand-holding.

Persistent—follows up until tasks are complete.

Detail-oriented—notices small things others miss.

Strong communicator—clear and frequent updates.

Working Conditions

Full-time, 40 hrs/week (remote, Philippines).

Flexible hours, but overlap with North American business hours required.

Must be available for daily check-ins and tournament-weekend support.

Tools provided (Jira MCP, Confluence, Slack/ ---------- , AI tools).
