ABOUT US
Short Term Retreats is a growing short-term rental arbitrage business operating properties in Austin TX and Dania Beach FL, with active expansion underway. We are a systems-driven, hospitality-first operation focused on delivering exceptional guest experiences across every stay.
Our owner operates at a high executive level and needs a sharp, proactive virtual assistant who can take ownership of day-to-day operations — someone who treats this business like their own and doesn’t need to be micromanaged.
This role exists because growth requires delegation. You will be the operational backbone that keeps guests happy, properties running smoothly, and the owner free to focus on strategy, expansion, and revenue growth.
CORE RESPONSIBILITIES
GUEST COMMUNICATION & EXPERIENCE
• Monitor guest messages daily across Airbnb and Hospitable PMS; flag anything requiring owner input
• Respond to pre-booking inquiries, check-in questions, and mid-stay requests promptly and warmly
• Send personalized check-in messages, mid-stay check-ins, and checkout reminders on schedule
• Proactively follow up after checkout to encourage 5-star reviews; track review velocity weekly
• Handle guest concerns with empathy and urgency — escalate to owner only when truly necessary
• Maintain a guest communication log for recurring issues and feedback patterns
OPERATIONS & MAINTENANCE COORDINATION
• Submit maintenance and work order requests through property management portals when issues arise
• Coordinate with cleaners before and after each turnover; confirm completion and flag any issues
• Track open maintenance items to resolution; follow up with property staff or vendors as needed
• Monitor cleaning schedules and ensure no gaps between checkout and next check-in
• Assist in building and maintaining SOPs for turnover, restocking, and guest communication
LISTING & REVENUE SUPPORT
• Conduct daily 5-minute competitor pricing check using Airbnb wishlists for each property
• Flag pricing anomalies, calendar gaps, or orphan nights to the owner for review
• Monitor listing performance metrics (impressions, views, bookings) and report weekly
• Assist with listing updates — copy edits, photo reordering, amenity updates — as directed
• Track upcoming high-demand dates and local events; alert owner 6–8 weeks in advance
ADMINISTRATIVE & EXECUTIVE SUPPORT
• Send owner a morning summary each day: open guest threads, action items, upcoming check-ins/outs
• Track deadlines, licensing items, and follow-up tasks in a shared document or task tool
• Research vendors, services, and suppliers as requested (cleaners, handymen, photographers)
• Log expenses and transactions into the bookkeeping tracker when directed
• Assist with ad hoc research, outreach, and administrative tasks as the business evolves

• Experience with Airbnb, Hospitable, or similar platforms is a plus — not required; customer service or administrative background welcomed.
