JOB OVERVIEW

We are looking for someone who wants to grow with an amazing female lead team and loves to make a positive difference in the lives of others.

As the Operations Support Specialist at Inspired Living, you will play a crucial role in supporting the overall business operations, ensuring efficient communication, and providing exceptional program support. Your role is vital in maintaining the seamless operation of our programs, coordinating with various departments, and supporting the entire team. Your contributions will enhance the efficiency and effectiveness of our operations, directly impacting the success of Inspired Living.

Hour are 9-5pm PST and we provide paid holidays, one week paid vacation and up to 5 personal/sick days after 90 day probation period.

Key Responsibilities:
Support to Operations + Programs:

Email
& Calendar Management: Provide first-level support for all Inspired Living clients by managing the Inspired Living inboxes (email, text, phone). Ensure all emails are responded to, delegated to the appropriate teaUpgrade to see actual infomber, and filed accordingly.


SOP and Documentation: With the Leadership Team, create, implement, and maintain Standard Operating Procedures (SOPs) that ensure consistent, efficient, and high-quality operations across all departments.


Program Support:
Update weekly stats for all programs and maintain coaching logs and program tracking as required by the Program Coordinator.
Organize and send regular newsletters.
Download, file, and upload call recordings for all program calls and events.
Course (Kajabi) and program updates, edits as directed
Create Zoom and AddEvent links, ensuring all calendars and program areas are up to date.
Manage projects in project management system (Asana)
Manage the onboarding sequence for all new clients, including
Adding to coaching logs.
Creating coaching portfolios.
Adding to Kajabi.
Ensuring correct tags on GHL

Go High Level (GHL) Support:
Provide billing support by updating reports from GHL.
Follow up on missed payments.
Update credit cards or payment plans as required.


Launches & Marketing Automations:
Pull and update GHL metrics.
Build needed campaigns and email funnels through GHL.
Add copy to emails and manage scheduling, testing, and deployment as directed by the Leadership team.
Schedule texts.

Team Support: Offer additional support to teaUpgrade to see actual infombers as needed.
Must of consistent reliable internet.

Skills Required:
Organizational Skills: Exceptional ability to manage multiple tasks, prioritize effectively, and maintain meticulous attention to detail.
Communication Skills: Excellent verbal and written communication skills to interact effectively and confidently with teaUpgrade to see actual infombers, clients, and vendors.
Technical Proficiency: Proficiency in Microsoft Office Suite, Google Workspace, Zoom, Kajabi, Canva, Go High Level, and project management tools such as Asana or Trello.
Problem-Solving: Strong analytical and problem-solving skills to identify areas for improvement and implement effective solutions.
Time Management: Ability to manage time efficiently, meet deadlines, and handle a high volume of work.

Experience:
Minimum of 3-5 years of experience in an operations support or administrative role.
Experience supporting business operations in a fast-paced environment.
Proven track record of managing complex schedules and coordinating high-level meetings and events.
Measures of Success:
Efficiency: Timely and accurate management of emails, calendar events, and client onboarding.
Communication: Consistently clear and professional communication with teaUpgrade to see actual infombers, clients, and vendors.
Program Management: Successful coordination and support of programs and events, ensuring all details are handled accurately and promptly.
Proactivity: Demonstrated ability to anticipate the needs of the operations team and take initiative in addressing them.
Team Support: Positive feedback from teaUpgrade to see actual infombers regarding the support provided in various activities and events.
