The Role
We're hiring an Operations Administrator who will be the connective tissue of our business — keeping day-to-day operations running smoothly while directly supporting the CEO on executive and administrative matters.
This is a high-trust, high-visibility role for someone who thrives in a fast-moving environment, takes ownership
without being asked, and genuinely cares about the details.
You'll report to the Operations Manager and work hand-in-hand with the CEO on priority projects,
communications, and business-critical tasks. The right person is organized, proactive, and equally
comfortable managing a calendar.
What You'll Do
Administrative & Executive Support
• Provide day-to-day virtual administrative support to the Operations Manager and CEO
• Manage scheduling, calendar coordination, and follow-ups across internal and external stakeholders
• Handle time-sensitive or urgent operational matters with sound judgment and discretion
• Draft, organize, and manage executive communications, including calls, texts, and
• Support the CEO on special projects, research tasks, and priority initiatives
Customer Operations & Experience
• Serve as backup coverage for inbound customer calls, texts, and
• Manage lead intake, initial qualification, and handoff to the sales process
• Coordinate scheduling and logistics for field service appointments
• Send follow-up communications, satisfaction surveys, and outreach campaigns
• Support online reputation management, including review monitoring and response coordination
Finance & Operations Support
• Process and manage invoicing and basic bookkeeping tasks in QuickBooks
• Coordinate operational workflows and help improve internal tools and processes
• Assist with logistics coordination between field teams, scheduling, and customers
What We're Looking For
Required Skills & Experience
• Proficiency in Google Workspace (Gmail, Drive, Docs, Sheets, Calendar)
• Hands-on experience with Canva for content creation and design
• Working knowledge of QuickBooks for invoicing and basic financial tasks
• Strong scheduling and coordination skills with a track record of keeping things on time
• Experience managing social media accounts for a business or brand
• Excellent written and verbal communication skills
• Ability to prioritize competing tasks and stay composed under pressure
