JOB OVERVIEW

Hyves is recruiting a meticulous and reliable Executive Assistant to support its founders and ensure the smooth behind-the-scenes operation of the company.
This dynamic role combines executive assistance, light customer support, basic social media management, and cross-functional coordination with our small team (4 people).
You will work remotely, following Dubai business hours, and play a key role in the organization — managing calendars and communications, tracking tasks, and updating the CRM and tracking tools.

Your Responsibilities:

Executive & Administrative Support:

-Manage and organize calendars, schedule meetings, and prepare agendas,
-Handle public inboxes ---------- flag urgent messages, and draft follow-up emails,
-Take meeting notes, manage files, and track action items,
-Create polished and professional documents and presentations (using Canva or Google Slides).

Client Coordination

-Respond to basic client inquiries or redirect them to the appropriate tea ---------- mber,
-Ensure responsive and personalized client communication,
-Track and manage interactions in the CRM (HubSpot or ---------- ).

Sales Support & CRM Management

-Assist with prospect follow-up and appointment scheduling,
-Update the sales pipeline, flag delays, and follow up on proposals,
-Keep the CRM clean and up-to-date: contacts, statuses, and notes.

Cross-Team Coordination

-Collaborate with marketing, sales, and operations teams to meet deadlines,
-Update task tracking tools and dashboards ( ---------- or equivalent),
-Follow up on pending tasks and maintain centralized documentation,
-Escalate blockers to management for quick resolution.

Profile Sought

-Excellent English (spoken and written),
-Strong organizational skills, with a sense of structure and clarit,
-Comfortable using productivity tools: Google Workspace, MS Office, Canva,
-Quick to learn new software; knowledge of ---------- or HubSpot is a plus,
-Professionalism, discretion, autonomy, and attention to detail,,
-Proficiency in additional languages (Spanish, Cantonese, Mandarin, etc.) is an asset,
-Prior experience in executive assistance, client coordination, or operations management is highly valued.
