Are you an experienced Real Estate Virtual Assistant looking for a full-time, long-term role? Join our dynamic Australian real estate team and support our sales operations remotely!

Job Overview:
We are looking for a detail-oriented and proactive Real Estate Virtual Assistant - Sales Admin to assist with end-to-end sales administration. The ideal candidate has experience in Australian real estate processes, including preparing Form 6, drafting sales agreements, listing properties, and handling client communications.

Key Responsibilities:
--Sales Administration:
Prepare and complete Form 6 and other necessary sales documents
Draft and review sales agreements and contracts
Assist in preparing property listing documents and sales brochures

--Listing Management:
Upload and manage property listings on CRM and real estate platforms
Ensure all listings have accurate descriptions, photos, and key details

--Client & Agent Support:
Coordinate with agents, buyers, and sellers to facilitate smooth transactions
Schedule property viewings, inspections, and follow-ups
Handle inbound and outbound calls related to property inquiries

--Database & CRM Management:
Maintain and update CRM with leads, contacts, and sales progress
Track and follow up on leads and inquiries

--Marketing & Communication Support:
Create and manage email marketing campaigns using Mailchimp
Assist with signing documents electronically via Docusign
Use CoreLogic / RP Data for property research and market insights

--General Administrative Support:
Manage emails, calendar appointments, and task tracking
Utilize Microsoft 365 for documentation and collaboration
Prepare reports and presentations for the sales team

--Qualifications & Skills Required:
- Experience in Australian real estate sales administration (must-have)
- Knowledge of Form 6 preparation and sales contract drafting
- Proficiency in real estate CRMs, particularly Pipedrive (or similar i.e Agentbox, VaultRE, Rex,)
- Familiarity with Docusign, Mailchimp, Microsoft 365, and CoreLogic / RP Data (or similar)
- Strong organizational and multitasking skills
- Excellent English communication skills (both written and verbal)
- Experience in handling client calls and email correspondence
- Ability to work independently and meet deadlines
