Core Responsibilities
This role includes, but is not limited to:
Listing Coordination
Preparing materials for listing appointments
Writing property descriptions
Inputting and managing MLS listings
Scheduling showings and coordinating sign installations
Sending weekly seller updates and collecting showing feedback
Requesting HOA documents and ensuring file compliance
Marketing & Content Support
Managing Instagram,
Creating Canva flyers using provided templates
Clipping short-form videos from long-form content (training provided)
Ordering marketing materials, closing gifts, and print items
Calendar & Communication Management
Managing my calendar
Scheduling showings, appointments, and open houses
Handling
Setting up saved searches in the MLS based on client needs
CRM & Database
Managing and updating Follow Up Boss CRM
Data entry, tagging, lead note organization, and pipeline tracking
Maintaining clean records and tracking communications
Admin & Back-End Support
Paying invoices and organizing receipts
Assisting with QuickBooks (training available if needed)
Organizing digital files and documents (Google Drive, AppFiles)
Supporting automation setup via Zapier and system improvement

What I'm Looking For
Strong written and verbal English communication
1+ year experience as a VA or administrative assistant (real estate is a plus)
Proficiency with tools like Canva, Google Suite, and Slack
Experience with Follow Up Boss or other CRMs is preferred
Highly organized, reliable, and proactive
Ability to problem-solve independently and meet deadlines
Comfortable working during U.S. business hours
Coachable and committed to long-term growth
Bonus If You Have Experience With
MLS input (especially in Florida markets)
Real estate marketing
Zapier or workflow automation
QuickBooks or expense tracking
