Position Overview
Real Estate Transaction Coordinator
Full-Time – Remote
Job Overview:
We are seeking a highly organized and detail-oriented Real Estate Transaction Coordinator to support our team with transaction management, contract compliance, and administrative tasks. The ideal candidate will have experience in real estate operations, CRM management, and client communication to ensure a seamless experience for buyers, sellers, and agents.
Key Responsibilities
Transaction Coordination:
- Input listings into MLS and ensure accuracy.
- Coordinate staging, photography, and marketing materials.
- Manage and compile offers for agent review.
- Conduct compliance checks on documents, signatures, and deadlines.
- Send initial welcome
- Coordinate inspections and appraisals.
- Open escrow and track progress.
- Ensure all contract deadlines are met.
- Obtain necessary signatures and documentation.
- Schedule closing appointments and coordinate with all parties.
- Close out files and submit them to the brokerage for commission payouts.
- Update MLS with transaction details.
- Add clients to post-closing follow-up campaigns.
- Send closing gifts and thank-you notes.
- Request client reviews and feedback.
- Organize and distribute closing documents.
Administrative & Executive Support:
- CRM database management, clean-up, and data entry (Zillow, Follow Up Boss, etc.).
- Monitor and manage
- Google Voice monitoring and call transcription.
- Schedule showings and confirm appointments.
- Conduct client check-ins and follow-ups.
- Manage calendars and coordinate travel arrangements.
- Document creation and organization.
- Assist with bookkeeping and expense tracking.
- Develop and maintain procedure manuals.
- Train new virtual assistants as needed.
- Provide ongoing support to agents and ensure smooth transactions.
Qualifications:
- Prior experience in real estate transaction coordination or administration.
- Familiarity with real estate CRMs such as Follow Up Boss and Zillow.
- Strong attention to detail and ability to manage multiple tasks.
- Excellent written and verbal communication skills.
- Tech-savvy with experience using Google Suite, MLS platforms, and project management tools.
- Self-motivated and proactive with strong problem-solving skills.
Preferred Qualifications:
- Experience with real estate compliance and contract management.
- Understanding of real estate transaction processes and timelines.
- Prior experience working as a virtual assistant in the real estate industry.
Compensation:
Pay will be based on skill set and experience.
