POSITION OVERVIEW
We are seeking a highly organized and detail-oriented Virtual Assistant to join our Transaction Coordination team as a Closing Coordinator. This is a full-time, fully remote role designed for a real estate professional who thrives in a fast-paced environment and takes pride in delivering a seamless closing experience.
As a Closing Coordinator, you will serve as the primary point of contact between agents, clients, attorneys, and lenders — managing residential transactions from executed contract through closing. You will be responsible for tracking contingencies and deadlines, keeping files compliant, and all parties informed and aligned every step of the way.
KEY RESPONSIBILITIES
Contract Management
--Review all residential purchase and sale agreements for accuracy and extract key transaction details.
--Track critical deadlines including inspections, appraisals, loan contingencies, and closing dates.
--Prepare addenda, coordinate digital signatures, and ensure all parties receive fully executed copies.
--Assist agents in correcting contract documents to ensure every file meets brokerage and state compliance requirements.
--Update transaction details, milestones, and task statuses in Sisu and Asana throughout the life of each file.
Communication & Client Experience
--Serve as the primary point of contact between agents, clients, attorneys, and lenders throughout the transaction.
--Update the Client Portal regularly to guide clients through the transaction and clearly communicate next steps in the closing process.
--Proactively follow up with all parties to prevent delays and resolve issues before they escalate.

QUALIFICATIONS
**Required
--Minimum 1–2 years of experience in real estate transaction coordination, closing coordination, or a closely related role.
Working knowledge of residential real estate contracts, closing timelines, and compliance requirements.
--Strong written and verbal communication skills in English; ability to convey complex information clearly to clients and third parties.
--Experience with Google Workspace (Gmail, Google Docs, Google Sheets, Google Drive).
--Excellent organizational skills with a demonstrated ability to manage multiple active files simultaneously along with a high volume of incoming
--Comfortable working independently in a remote environment and meeting deadlines without direct supervision.
**Preferred
--Proficiency with transaction management platforms such as Sisu
--Experience using productivity and CRM tools such as Follow Up Boss and Asana (or comparable platforms)
--Familiarity with digital signature platforms such as Dotloop or Skyslope
