JOB OVERVIEW

???? JOB DESCRIPTION
We are looking for a highly detail-oriented Publishing Operations Assistant to manage the production workflow for a high-volume digital fiction business. (Up to 21 novellas published per week. Currently 14.)
You will NOT be writing stories.
You will NOT be making creative decisions.
You will be responsible for preparing, formatting, organizing, and distributing finished books for Amazon Kindle Direct Publishing (KDP) and related marketing platforms.

???? CORE RESPONSIBILITIES
· Organize publishing-ready book packages from completed manuscripts
· Format manuscripts into clean, upload-ready files (DOCX formatting standards)
· Prepare metadata sheets (titles, subtitles, keywords, categories)
· Organize cover files (already prepared for you) and ensure correct pairing with manuscripts
· Maintain structured Proton Drive folder system
· Track publication status for multiple books per week
· Create Booksprout campaigns using the finalized book files and update each campaign with the live Amazon ASIN/link once available.
· Set up MailerLite email campaigns using provided templates
· Update tracking spreadsheets and/or Notion databases according to the system we provide.
· Ensure all books follow correct naming conventions and formatting rules

· Creating titles or keywords
· Designing covers
· Making creative decisions
· Managing Amazon account access

???? REQUIRED SKILLS
You must have:
· Extreme attention to detail (this is critical)
· Experience managing structured workflows or content pipelines
· Comfort with Proton Drive or similar shared-drive systems (such as Google Drive), spreadsheets, and file organization.
· Ability to follow SOPs without deviation
· Strong consistency under repetitive tasks
· Experience with Kindle Direct Publishing (preferred but not required)
· Experience with ebook formatting is preferred. Experience with Vellum is a major plus, but not required. If you do not use a Mac, please mention that in your application.

This role requires precision. A single mistake in formatting, metadata, or file handling can affect live published books. We are looking for someone who treats small details as extremely important.

Note: We believe in responsible autonomy and treat everyone as an adult. This means you will be treated with respect and not micromanaged. We do not request that any software be installed on your computer to track hours or activity or anything of this nature. We also don't believe in time sheets, or anything like that. As long as you keep our operations organized, on time, running smoothly, and error-free we are 100% happy.

When first starting, there will be a learning curve and the role may feel close to full-time until the system becomes familiar. After the workflow is learned, a highly organized person should be able to batch much of the work into a few focused work blocks per week.
