Allied Assist is a remote operations support company helping businesses stay organized, efficient, and fully executed behind the scenes. We support multiple clients across operations, administration, communication, systems, and project execution to ensure tasks move forward accurately and on time.
We are looking for a highly organized, execution-focused Project Manager who thrives in fast-paced environments, is technically capable, proactive, resourceful, and enjoys figuring things out.
This role is ideal for someone who naturally researches solutions, learns new systems quickly, and takes ownership of moving tasks from start to completion.
Role Overview
This role is centered around execution, coordination, problem-solving, and operational support.
You will work directly with clients, internal teams, and Virtual Assistants to keep projects moving, resolve issues, organize workflows, and ensure execution happens consistently.
We need someone who does not stop at “I don’t know” — but instead researches, investigates, tests solutions, and finds answers.
Clients may bring operational questions, technical issues, process concerns, system challenges, or administrative requests, and this role requires someone comfortable learning, troubleshooting, and driving resolution.
This is not a strategy-only management role and not a purely people-management position.
This is a hands-on execution role for someone who loves organization, ownership, research, and getting things done.
Key Responsibilities
Manage day-to-day operational tasks and project execution across multiple client accounts
Track deliverables, timelines, action items, and task completion
Research solutions for client concerns, technical issues, workflow gaps, and operational questions
Troubleshoot problems by investigating systems, documentation, tools, SOPs, and available resources
Coordinate with Virtual Assistants and specialists to ensure work completion
Follow up proactively on pending items, blockers, and deadlines
Organize and maintain tasks, SOPs, records, and workflows in project management systems
Communicate with clients professionally through
Assist clients with administrative, operational, technical, and process-related requests
Learn new tools, systems, and workflows quickly when client needs change
Document findings, solutions, and process improvements
Keep workflows organized and execution moving efficiently
Use tools such as ClickUp, Slack, Hubstaff, Google Workspace, Excel/Sheets, AI tools, and various client systems
Requirements
3–5 years experience in project coordination, operations support, executive assistance, project management, client support, or similar roles
Strong execution mindset with excellent follow-through
Technically capable and comfortable learning new systems quickly
Strong research and problem-solving skills
Naturally resourceful — able to investigate and find answers independently
Excellent organizational skills with ability to manage multiple projects simultaneously
Strong attention to detail and accountability
Comfortable troubleshooting workflows, systems, and operational challenges
Experience communicating professionally with clients via
Ability to manage priorities in a fast-paced remote environment
Excellent written and verbal English communication skills
Experience with ClickUp or similar project management systems preferred
Nice to Have
Technical support or troubleshooting background
Experience with process documentation and SOP creation
Experience supporting remote teams or Virtual Assistants
Familiarity with AI tools and productivity platforms
Experience with automations, workflows, CRMs, or operational systems
Experience working directly with clients in a service environment
Work Setup
Fully remote
Must have stable internet and a quiet workspace
Must be available during core working hours (8am–5pm EST)
Compensation
Starting rate: $4.00/hour
Paid weekly via Wise
Performance-based raises at 30/60/90 days
