JOB OVERVIEW

A company in the marketing industry is looking for a reliable and detail-oriented Project Coordinator to join the team on a full-time, remote basis. This role is central to keeping programs, partnerships, and events running smoothly. You will serve as the main coordination point across internal teams and external stakeholders, making sure projects stay on schedule and that all deliverables meet high standards for quality and professionalism.

This is a remote position. Work schedule is Monday through Friday, 8:00 AM to 4:00 PM PST.


ABOUT THE ROLE

As Project Coordinator, you will touch nearly every area of operations, from managing communications and membership records to coordinating multi-project timelines and supporting event logistics. The ideal candidate thrives in a fast-paced environment, takes initiative, communicates clearly, and can juggle competing priorities without dropping the ball.


RESPONSIBILITIES

- Provide general administrative support, including calendar management, file organization, data entry, and other day-to-day operational tasks as needed.
- Manage the organization's email inbox by monitoring, responding to, and routing messages to keep communication timely and organized.
- Draft and send email communications to members, including announcements, updates, and event-related outreach.
- Maintain and update membership records, contact lists, and engagement data to support member communications and reporting.
- Coordinate on bookkeeping items, including tracking payments and supporting financial recordkeeping at a coordinator level.
- Work closely with the marketing and social media teams on newsletters, website updates, and related content to keep communications consistent and on brand.
- Monitor event registrations, assist with attendee communications, and maintain registration and attendance records.
- Provide remote support for events, including coordination, logistics, and follow-up tasks.
- Assist with social media and website efforts by helping shape the direction of posts, updating event postings and web content, and QAing for accuracy, consistency, and brand alignment before publishing.
- Coordinate timelines, deliverables, and logistics across multiple concurrent projects, including media partnerships, brand collaborations, and community events.
- Proactively identify bottlenecks, missing information, and upcoming deadlines, helping keep projects moving forward and stakeholders informed.
- Maintain project documentation, trackers, and status reports to keep all stakeholders aligned.
- Support the preparation and quality review of external-facing materials, including presentation decks, partnership proposals, and media collateral, ensuring accuracy and consistency before external handoff.
- Serve as a liaison between the organization and partner organizations, vendors, and consultants.
- Schedule and facilitate meetings, capture action items, and follow up to ensure completion.
- Occasionally assist with tasks that overlap across organizational programs, such as preparing or reviewing documents, proposals, or narratives.


QUALIFICATIONS

- 2 or more years of project coordination, administrative, or operations experience, preferably in a partnerships, media, or nonprofit setting.
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent written and verbal communication skills with high attention to detail in copy accuracy and formatting.
- Familiarity with social media platforms and Canva, including the ability to open and navigate files, leave and respond to comments, and make basic updates.
- Proficiency with Google Workspace (Docs, Sheets, Drive) and common project management and productivity tools.
- Ability to work independently while collaborating effectively across internal teams and external partners.
- Comfortable in a remote work environment with a proactive, self-starter mindset.
