TotalStaySolution and Swedish House operate a growing co-living property management business and a SaaS-based mentorship ecosystem built on GoHighLevel for real estate investor/operators. This is not a generic customer service position — it is a right-hand support role designed to help the Co-Founder stay focused, organized, and operationally supported across both brands.
Two part-time VAs will work together to provide 7-day coverage — one VA covers Monday–Friday, the other covers Thursday–Monday. The primary focus is helping the Co-Founder translate moving parts into consistent execution: inbox control, follow-up, documentation, CRM hygiene, communication support, and day-to-day operational continuity.
What You'll Own:
Support the Co-Founder with daily operational follow-through across both brands
Triage inboxes, messages, and task flow so important items do not get lost
Turn voice notes, chat threads, rough drafts, and messy ideas into clean SOPs, templates, summaries, and next steps
Maintain CRM hygiene and workflow accuracy inside GoHighLevel
Coordinate maintenance and operational follow-up including vendor communication, request tracking, and status updates
Monitor member/tenant/vendor communications across chat,
Track payments, late balances, and basic ledger updates with accuracy
Support calendar coordination, reminders, and administrative follow-through for the Co-Founder
Assist with light content and marketing support across Instagram,
Keep internal documents, knowledge bases, and recurring workflows organized and up to date
You're a Strong Fit If You:
Write and speak clear, calm English (C1 level or better) — no slang, no emotional reactivity
Are naturally organized and strong at follow-up
Can take rough draft instructions and turn them into clear action
Ask clarifying questions instead of guessing
Are comfortable supporting a neurodivergent, visionary co-founder who may think quickly, speak in shorthand, and need help structuring next steps
Stay steady under pressure and do not become emotionally reactive
Enjoy improving systems, not just completing tasks
Can handle confidential information related to housing, payments, and sensitive member situations with maturity and discretion
Are willing to sign an NDA and non-compete
Preferred Background (Not Required):
Operations or executive assistant support, property management, co-living or hospitality, SaaS support or CRM administration, real estate operations, or admin support for a founder or small fast-moving company
Nice to Have:
GoHighLevel experience
Basic bookkeeping comfort
Experience documenting SOPs and workflows
Ability to summarize long documents into concise briefs
Comfort supporting U.S.-based operations across time zones
