JOB OVERVIEW

Growing U.S.-based electrical/main panel upgrade company hiring a remote Operations Coordinator to manage Podio CRM, automate workflows, handle permit tracking, materials ordering, and support invoicing processes. Part-time ? potential full-time.

Key responsibilities:
-Manage and improve Podio CRM: create/update apps, fields, relationships, and automations (Podio Workflow Automation/Globiflow experience preferred).
-Track leads and jobs through the sales-to-install lifecycle; keep statuses updated and owners assigned.
-Create SOPs and checklists for permit submission, materials procurement, scheduling, invoicing, and job closeout.
-Prepare and submit permit application paperwork (where jurisdiction allows) and follow up with permitting authorities or local contacts.
-Create and manage purchase orders, compare supplier quotes, place orders, track deliveries and shortages.
-Prepare and send invoices (draft invoices, attach documentation, coordinate final sign-off with owner).
-Generate daily/weekly reports: open jobs, permit statuses, material delays, upcoming installs.
-Coordinate with installers/subcontractors and update scheduling/calendar.
-Respond to basic customer communications (status updates, scheduling confirmations) when needed.
-Perform data entry and file organization (Google Drive), maintain accurate job records and photo logs.
