Location: Remote| Type: Full-Time | Environment: Start-Up, Fast-Paced

We are the SAME timezone as the Philippines, and this is a 9am-6pm position.

We’re seeking an Operations Assistant who can wear multiple hats, leading our client's team to operational excellence in multiple aspects of their business.

What You’ll Do

As a pivotal member of our team, you will:


Automation & Customer Service
- Implement and manage automated customer service workflows
- Set up and maintain chatbot systems for common customer inquiries
- Create standardized response templates for various customer scenarios
- Monitor customer service metrics and optimize automation processes
- Ensure seamless integration between Shopify and customer service platforms

Financial Management
- Oversee accounts receivable and payable
- Process and manage invoices through Xero
- Monitor payment collections
- Track key financial metrics and prepare regular reports

Inventory & Stock Control
- Manage inventory levels for all product lines (Ceremonial Cacao, Vital Blends, accessories)
- Implement inventory management systems and processes
- Monitor stock levels and coordinate with suppliers
- Forecast inventory needs based on sales data
- Conduct regular stock audits
- Optimize warehouse organization and efficiency
- Operations Efficiency
- Identify and implement process improvements
- Coordinate with fulfillment partners
- Manage relationships with key vendors and suppliers
- Oversee shipping and logistics operations
- Maintain operational documentation and SOPs

Required Skills & Qualifications:
- 3+ years experience in operations management or similar role
- Strong proficiency with automation tools and systems
- Experience with Shopify, Xero, and inventory management software
- Excellent analytical and problem-solving skills - Strong attention to detail and organizational abilities
- Experience in e-commerce operations preferred

- Customer response time reduction
- Automation implementation success rate
- Inventory accuracy rate (target 95%+)
- Order fulfillment accuracy
- Cost reduction through process improvement
- Customer satisfaction scores
