Court Approved Council is a legal education and consulting company serving founders in private-pay medicine — think aesthetics, wellness, hormone therapy, and regenerative medicine clinics. We help healthcare practice owners build and run compliant businesses through membership communities, training programs, and legal resources.
We're looking for a Notion & Zapier expert to help us build, maintain, and optimize both our internal operating systems and client-facing dashboards and materials.
What You'll Be Working On:
Internal Systems (Notion):
Build and maintain our company's internal operating system in Notion
Create and organize SOPs, workflows, and team documentation
Develop dashboards for tracking projects, tasks, and team operations
Continuously improve and optimize our internal workspace as the company grows
Client-Facing Systems (Notion):
Develop and maintain client-facing dashboards, templates, and resources
Create polished, user-friendly Notion materials that reflect our brand
Build out client portals, trackers, and other deliverables as needed
Automation (Zapier):
Build and maintain Zaps that connect our tools (Notion, Mighty Networks, Calendly, Stripe, Google Workspace, etc.)
Identify opportunities to automate repetitive tasks and streamline workflows
Troubleshoot and optimize existing automations
What We're Looking For:
2+ years of hands-on experience building in Notion (not just using it — actually building systems, databases, and dashboards)
Strong experience with Zapier (building multi-step Zaps, troubleshooting, integrations)
Ability to take a vague idea and turn it into a clean, functional system
Detail-oriented with a knack for organization and structure
Strong communication skills in English
Self-directed and proactive — you don't need to be micromanaged
Bonus: Experience with other automation tools (Make/Integromat, Airtable, etc.)
Bonus: Experience working with service-based businesses, legal, or healthcare industries

Our internal systems are clean, organized, and actually used by the team
Client-facing materials are polished and professional
Automations run smoothly in the background, saving us time every week
You proactively identify ways to improve our systems without being asked
