Falter Media is hiring a Notion/Asana Systems Architect & Project Operations Manager who can design and manage our backend systems and workflows — using tools like Notion at a high level of technical complexity.

This person will build and maintain the systems that run our agency — from content pipelines and client trackers to payroll and team task boards. You must be obsessive about structure, creative in system design, and organized enough to keep everything running smoothly. Familiarity with video production pipelines is a bonus, but not required.

Bonus, would also love someone who can help with some HR tasks, with hiring and firing, etc.

???? ABOUT THE ROLE

We are looking for an advanced Notion expert who can build, maintain, and improve our agency’s internal systems. This includes project management dashboards, client pipelines, editorial calendars, content trackers, payroll databases, SOP hubs, and more. You’ll work directly with the owner to build smart systems — and help manage them as a key player in operations.

This is not a basic task-manager job. We need someone who can think logically, build complex relational databases, and structure systems that scale with a growing agency.

???? RESPONSIBILITIES

???? NOTION SYSTEMS DEVELOPMENT
• Build custom Notion dashboards, workspaces, and interlinked databases.
• Create advanced formulas, filters, templates, rollups, and automations.
• Design user-friendly views for our team (calendar, kanban, table, timeline).
• Connect Notion with external tools like Zapier, Make, Google Sheets, and Slack.
• Maintain SOP hubs, onboarding templates, and internal guides.

???? PROJECT & TEAM MANAGEMENT SUPPORT
• Track deadlines and deliverables across multiple clients.
• Help assign tasks and keep the content production pipeline flowing smoothly.
• Monitor who’s working on what — and flag any bottlenecks.

???? ADMIN & HR SUPPORT
• Manage payroll tracking for our team in the Philippines and abroad.
• Organize onboarding materials and HR documents in Notion.
• Keep a running log of team availability, leave, and 13th-month payouts.

? REQUIREMENTS
• 2+ years experience with Notion as a system builder (not just user).
• You’ve built dashboards, automated workflows, or a full-blown operations system in Notion.
• Strong logic, problem-solving, and visual organization skills.
• Familiarity with integrations (Zapier, Make, Slack, etc.)
• Excellent communication and English comprehension.
• Can work independently, think like an operator, and own the backend of the business.
• Comfortable with time tracking, deadlines, and remote teamwork.

Bonus (but not required):
• Experience with payroll or HR coordination
• Familiarity with video production pipelines
• Some understanding of LDS culture, YouTube content, or creative agencies

???? WORK HOURS
• Part-time for now, preferred (10 hrs/week) With opportunity for more.
• Flexible schedule but some overlap with Mountain Time (Utah) is ideal
• Long-term commitment only — we’re looking for someone who wants to grow with us!
