Role Overview
You are responsible for supporting daily sales and logistics operations by ensuring all booked loads are accurately documented, sales records are maintained, rate confirmations are processed promptly, and operational data remains organized and up to date. This role requires strong attention to detail, accuracy, and the ability to work within structured systems and deadlines.

What You'll Do

Sales & Load Administration
• Update and maintain the Sales Hub Sheet with all loads booked by the Sales Team.
• Verify that load information is entered accurately and completely.
• Monitor and reconcile booked loads against internal tracking systems.
• Ensure sales activity records remain current and organized.

Matrix & Data Management
• Maintain and update the sales matrix on a daily basis.
• Track key sales and operational metrics.
• Ensure data accuracy across spreadsheets, reports, and internal systems.
• Generate reports and provide updates as requested by management.

Rate Confirmation Management
• Prepare, review, and send rate confirmations to carriers and customers.
• Ensure all rate confirmations match agreed pricing and load details.
• Follow up on missing or unsigned rate confirmations.
• Maintain organized records of all rate confirmations and related documents.

Administrative Support
• Assist with document management and record-keeping.
• Support coordination between sales and operations team.
• Identify discrepancies and escalate issues for resolution.
• Perform additional administrative and operational support tasks as assigned.

Success Metrics
• 100% of booked loads accurately reflected in the Sales Hub.
• Sales matrix maintained with minimal errors.
• Rate confirmations sent accurately and on time.
• High data accuracy and documentation compliance.
• Timely completion of administrative and operational tasks.

Who We’re Looking For
• Has experience in logistics, freight brokerage, transportation, sales support, or administrative operations
• Strong attention to detail and organizational skills
• Proficiency in Google Sheets, Microsoft Excel, and data management.
• Ability to monitor multiple loads simultaneously
• Understands urgency and prioritization in a live operations environment
• Communicates clearly and professionally via zoom, chat, and email
• Minimum 45 WPM typing speed
• Can monitor multiple loads at once without losing accuracy
• Pays strong attention to detail and uses sound judgment when issues arise
• Comfortable operating in high volume communication environments
• Follows instructions consistently and values clean execution
• Works well with a team and is open to feedback and coaching. Collaborates without resistance or ego

Schedule & Work Setup
• Full Time Remote Role| Direct Hire to US Company
• Current Shift Need: 7 AM - 5 PM CDT
• Other shifts (only if assigned): 3 PM - 1 AM CDT | 11 PM - 9 AM CDT
• Zoom presence (with camera open) required
• Time tracking software used for accountability and performance support
• Shifts may adjust based on operational demand
