Innova Law is a modern, fully virtual law firm based in Saskatchewan, Canada. We provide convenient, clear, and efficient legal services to clients across the province, primarily in the areas of real estate transactions, estate planning, estate administration, and corporate law.
We are looking for a reliable, professional, and well-spoken Virtual Legal Assistant / Client Intake Assistant to help with daytime phone coverage, client communication, appointment scheduling, and administrative support.
The most important part of this role is answering phone calls during business hours and ensuring every client or potential client receives a professional, friendly, and organized first impression of the firm.
Main Responsibilities
The primary responsibility will be:
Phone and client intake support
Answer incoming phone calls during daytime business hours
Take clear and accurate messages
Ask basic intake questions to understand what the client needs
Schedule appointments based on the client’s legal matter and availability
Forward information to the correct person or department for follow-up
Ensure urgent or important matters are escalated promptly
Maintain a professional, calm, and friendly tone with clients
You may also assist with:
Administrative support
Managing appointment bookings and calendar updates
Sending basic follow-up
Organizing client information and documents
Updating client files and checklists
Following up with clients for missing information or documents
Assisting with
Preparing simple templates, forms, and administrative documents
Helping maintain firm systems and workflows
Important Note
You will not be expected to give legal advice. Your role is to gather information, assist with scheduling, provide administrative support, and pass matters to the lawyer or appropriate tea
Ideal Candidate
The ideal candidate is someone who is:
Excellent at speaking and writing in English
Comfortable answering phone calls professionally
Organized and detail-oriented
Reliable during scheduled work hours
Friendly, calm, and client-service focused
Able to follow scripts and processes
Comfortable using online tools such as Gmail, Google Calendar, Google Drive, Zoom/Google Meet, and practice-management software
Able to keep client information strictly confidential
Interested in learning legal office systems and growing with the firm
Legal experience is helpful, but not required. Experience working with law firms, real estate offices, medical/dental offices, or other professional service businesses would be considered an asset.
Schedule
This is a remote position. The role requires availability during Saskatchewan daytime business hours.
