JOB OVERVIEW

Job Summary
Direct Singapore Advisory (DSA) is seeking a dedicated and highly organized Immigration Operations Executive to manage client cases throughout the entire immigration journey.
The successful candidate will serve as the primary point of contact for clients from onboarding through application preparation, submission, follow-up management, and post-submission support for Singapore Permanent Residence (PR) and Singapore Citizenship applications.
This role requires strong client communication skills, attention to detail, case coordination capabilities, and the ability to manage multiple client portfolios simultaneously while maintaining high service standards and confidentiality.
The Immigration Operations Executive plays a critical role in ensuring a seamless client experience and maintaining effective communication between clients, consultants, management, and supporting stakeholders throughout the application lifecycle.

Key Responsibilities
Client Onboarding & Case Management
• Receive and onboard new clients from the Sales Team upon successful engagement.
• Create and manage dedicated WhatsApp communication groups for each client.
• Conduct onboarding briefings and explain the overall application process, timelines, documentation requirements, and milestones.
• Maintain accurate client records and update internal tracking systems regularly.
• Act as the primary case coordinator throughout the client's engagement with DSA.
Client Communication & Relationship Management
• Manage daily communication with clients through WhatsApp, email, phone calls, and meetings.
• Provide timely updates regarding case progress, documentation requirements, and submission timelines.
• Respond professionally to client enquiries and concerns throughout the engagement period.
• Follow up proactively to ensure clients meet documentation deadlines.
• Build strong and professional relationships while maintaining high levels of client satisfaction.
Documentation & Application Coordination
• Collect, review, organize, and verify supporting documents required for Singapore PR and Citizenship applications.
• Ensure document consistency, completeness, and compliance with submission requirements.
• Coordinate with clients to obtain additional supporting documents where necessary.
• Maintain proper digital filing and document management practices.
• Work closely with consultants and management to ensure case readiness before submission.
Submission & Post-Submission Support
• Coordinate the preparation and submission process for Singapore PR and Citizenship applications.
• Monitor application progress and maintain submission records.
• Assist clients with post-submission requests, updates, or additional document requirements.
• Continue managing client communications throughout the waiting period until final outcome.
• Provide after-service support for approved and unsuccessful applications.
• Coordinate follow-up consultations and reapplication planning for rejected cases where required.
Internal Operations Support
• Coordinate with the Sales Team regarding new client handovers and case transitions.
• Work closely with management on case scheduling, operational updates, and workflow improvements.
• Prepare case status reports and operational updates when required.
• Ensure compliance with company procedures, confidentiality standards, and data protection requirements.
• Support operational initiatives to improve client experience and case management efficiency.

Requirements
• Diploma or Bachelor's Degree in Business Administration, Customer Service, Communications, Legal Studies, Human Resources, or related disciplines.
• Minimum 1-3 years of experience in customer service, client management, case management, immigration consultancy, administrative operations, or related fields.
• Strong interpersonal and communication skills.
• Excellent written and spoken English.
• Highly organized with strong attention to detail and documentation accuracy.
• Ability to manage multiple client cases and deadlines simultaneously.
• Proficient in Microsoft Office, Google Workspace, WhatsApp Business, and digital document management systems.
• Ability to work independently while maintaining strong teamwork and coordination.
• Professional, patient, and service-oriented personality.
• Experience in Singapore immigration consultancy, PR applications, Citizenship applications, work pass processing, legal support services, or customer relationship management will be an added advantage.
