Job Summary:
As the Executive Assistant to the CEO, you will serve as a key partner, ensuring efficiency and strategic execution across multiple areas of the business. Your ability to analyze financial and operational data, manage competing priorities, and leverage technology to optimize workflows will be critical to your success.
This role goes beyond traditional administrative support; it requires financial acumen, business insight, and project management capabilities. You will play a vital role in managing executive initiatives, financial tracking, and business operations while providing high-level support to the CEO.
Key Responsibilities:
1. Executive & Strategic Support:
Proactively manage and optimize complex schedules, ensuring the CEO is prepared for meetings, travel, and critical business decisions.
Provide high-level administrative and analytical support, ensuring efficiency across multiple business units.
Collaborate with the CEO and senior leadership on strategic initiatives, leveraging data-driven insights.
Work closely with finance and accounting teams to track financial performance, budgets, and forecasts.
Assist in preparing financial reports, executive summaries, and operational analyses.
2. Project & Business Operations Management:
Own and manage a variety of special projects, ensuring on-time delivery and successful execution.
Analyze key business metrics, financial reports, and market trends to provide insights that inform strategic decisions.
Identify, research, and implement operational improvements to enhance business performance.
Track deliverables, deadlines, and performance indicators to ensure alignment across teams.
Serve as a liaison between the CEO and internal/external stakeholders, ensuring effective communication.
3. Relationship & Stakeholder Management:
Build strong relationships with key partners, executives, and stakeholders, ensuring seamless collaboration.
Handle sensitive financial and strategic information with the highest level of confidentiality and integrity.
Represent the CEO professionally, facilitating effective communication across teams.
4. Travel & Event Coordination:
Manage complex travel arrangements, ensuring seamless execution for business trips and engagements.
Oversee logistics for board meetings, investor presentations, and executive events.
5. Technology & Productivity Optimization:
Leverage AI tools, automation platforms, and data-driven systems to improve efficiency.
Identify and integrate cutting-edge software solutions to streamline workflows.
Utilize Excel, financial modeling tools, and business intelligence platforms to support decision-making.
Qualifications & Requirements:
Essential Skills & Experience:
- Experience: Minimum 5+ years of experience supporting C-suite executives or equivalent high-level roles, ideally in finance, accounting, private equity, or entrepreneurship-driven environments.
- Accounting & Financial Acumen: Strong background in accounting, finance, or business operations is required. Experience with financial reporting, budgeting, and forecasting is highly preferred.
- Analytical Mindset: Ability to analyze business data, P&L statements, and market trends to support executive decision-making.
- Tech-Savvy: Highly proficient with Microsoft Office Suite (Excel, PowerPoint, Outlook), project management tools, AI-driven platforms (ChatGPT, Notion, Airtable, etc.), and financial software.
- Project & Operations Management: Strong ability to lead projects, track deliverables, and ensure alignment with business goals.
- Communication: Exceptional verbal and written communication skills, with the ability to synthesize complex information clearly and concisely.
- Proactive Problem-Solving: A resourceful, strategic thinker who anticipates challenges and resolves them independently.
- Business & Entrepreneurial Insight: Understanding of business operations, venture capital, and scaling companies is a plus.
