We are looking for a highly organized, proactive, and detail-oriented Executive Assistant & Operations Coordinator to help support the day-to-day operations of a growing coaching and consulting business.
This is not a traditional assistant role. We are looking for someone who enjoys creating order from complexity, solving problems independently, and helping a fast-moving business run smoothly.
Responsibilities:
Executive Support
Manage calendar scheduling and meeting coordination
Coordinate client appointments and coaching sessions
Manage travel arrangements and itineraries
Monitor and organize
Prepare meeting agendas and follow-up action items
Track key deadlines and commitments
Client Experience:
Serve as a primary point of contact for clients
Schedule coaching sessions and workshops
Manage client onboarding processes
Prepare client materials and resources
Ensure an exceptional client experience from start to finish
Maintain accurate client records and documentation
Operations & Project Management
Coordinate leadership training programs and workshops
Manage project timelines and deliverables
Track action items across multiple client engagements
Support event and retreat logistics
Maintain systems, processes, and standard operating procedures
Identify opportunities to improve efficiency and organization
Administrative Support:
Assist with invoicing and payment tracking
Update CRM and client databases
Organize digital files and documentation
Prepare presentations and workshop materials
Conduct research as needed
Support special projects and business initiatives
Qualifications Required:
Exceptional organizational skills
Strong written and verbal English communication
High attention to detail
Ability to manage multiple priorities simultaneously
Strong follow-through and accountability
Proficiency with Google Workspace (Docs, Sheets, Calendar, Drive)
Comfortable learning new technology platforms
Reliable internet connection and quiet work environment
Preferred:
Experience supporting executives, consultants, coaches, or professional services firms
Experience with CRM systems
Project management experience
Experience coordinating events, workshops, or training programs
Familiarity with AI tools such as ChatGPT
Experience with Canva, PowerPoint, or presentation design
