Job Description: Executive Assistant
We are a successful, vertically integrated real estate investment company specializing in owning and managing multifamily apartment buildings. Our company performs in-house property management and construction work, and we are seeking an Extremely Bright and Educated Executive Assistant to work directly with the two owners. This role is intended for someone interested in becoming a long-term member of our team and who is passionate about their personal growth.
Key Responsibilities:
• Regularly collaborate via Zoom for video conferences to discuss and execute tasks.
• Handle a wide range of routine and unique requests, adapting to new challenges with a proactive approach.
• Assist in onboarding and managing CRM tools such as HubSpot.
• Create complex Excel spreadsheets, such as tracking construction progress (e.g., labor, materials, inspection lists, schedules).
• Respond to emails and manage communications through various platforms (e.g., RingCentral so you must be a decent typer).
• Keep track of critical dates, appointments, and tasks using multiple calendars.
• Support back-office functions, including booking travel and managing utility expenses.
• Design video tutorials and support graphic design needs as required (You do not need to be a graphic designer).
• Develop and implement efficient systems and processes that can be delegated to others once established. In other words, many of the extremely redundant tasks will be handed over to someone else once you have perfected the system.
• Conduct research projects, perform data analysis, and assist in creating checklists, templates, and systems.
• Collaborate with other team members and the company’s current executive assistant. Our current executive assistant has worked alongside us for approximately 3 years and has grown tremendously.
Qualifications:
• Fluent in English (both spoken and written).
• Highly organized with exceptional attention to detail.
• Able to handle a variety of tasks simultaneously, efficiently, and most importantly accurately.
• Proficient in Microsoft applications (Word, Excel, PowerPoint, etc.).
• Strong experience with technology tools, such as CRMs, video conferencing platforms, and task management software.
• Ability to independently learn new systems and tools. In other words, you have the ability to watch tutorials etc to learn. For clarity, your learning will be on company time.
• Comfortable with flexible job duties, from administrative work to system-building projects.
• Excellent communication skills, both written and verbal.
• High speed internet with video capability for daily use.
• Enjoy working in a collaborative, team-based environment.
Preferred Experience:
• Experience in high growth, high learning environments is a plus.
• Familiarity with HubSpot or other CRM tools. You are very tech savvy but do not need to be a programmer.
• Previous executive assistant experience, especially in a dynamic, fast-paced work environment.
