About Bestactik
Bestactik is a career coaching and recruiting/staffing company. We help professionals land roles through hands-on coaching, and we source and place talent for our clients. We run a fast-moving, multi-channel operation — coaching cohorts, a client community, active recruiting pipelines, and ongoing outreach — and we’re looking for a sharp, proactive Executive Virtual Assistant to keep all of it running smoothly.
The Role
This is a high-trust, high-ownership role at the center of our day-to-day operations. You’ll be the person who keeps calendars optimized, money moving, inboxes under control, clients and community members taken care of, and our content and outreach going out consistently. We need someone organized enough to manage the details and resourceful enough to anticipate what’s needed before being asked.

What You’ll Do
Executive & Calendar Support
• Own scheduling, calendar organization, and optimization across the team
• Coordinate meetings, calls, and follow-ups, including across time zones
• Manage and triage
Billing & Operations
• Handle invoicing and billing accurately and on time
• Track payments and keep financial records organized
Client & Community Engagement
• Deliver responsive, warm customer service across
• Manage community interaction and messaging — keep our community active, answered, and engaged
• Conduct phone call outreach to clients, prospects, and community members
Content & Social Media
• Light video editing and photo editing for social and marketing content
• Schedule and post content across our social media channels
Lead Generation
• Run lead generation through our existing channels, primarily LinkedIn
• Support outreach campaigns and keep our pipeline of conversations moving
What We’re Looking For
• 2+ years of experience as an executive or virtual assistant (recruiting, coaching, or agency environment a plus)
• Excellent written and spoken English — clear, professional, and friendly
• Highly organized, detail-oriented, and proactive — you spot what needs doing and do it
• Strong communication and people skills; comfortable on the phone and in writing
• Tech-savvy and quick to learn new tools
• Discretion and reliability — you’ll handle sensitive client and financial information
• Self-managed and dependable working remotely
Nice to Have
• Bilingual in English and Spanish
• Experience with GoHighLevel (GHL), Notion, Circle, and Stripe
• Comfort with content tools like Canva and a video editor (e.g., CapCut)
• Familiarity with LinkedIn outreach and social media scheduling tools
