About the role
I'm looking for a reliable, self-directed Executive Assistant to be my right hand on day-to-day admin. There's no fixed checklist — tasks vary week to week — so I need someone who can take a loose instruction, run with it, and follow through without being chased. The schedule is flexible within a 10am–4pm EST window, so you can plan your day around it. If you like variety, take initiative, and are comfortable speaking with US-based companies by phone, this is for you.
What you'll do
- Handle general administrative tasks as they come up
- Research vendors, compare options, and help me make decisions
- Make phone calls to US companies on my behalf (scheduling, inquiries, follow-ups)
- Manage and organize my calendar
- Send reminders and chase down follow-ups so nothing slips
- General research on topics I assign
Work style — non-negotiable
- You're a self-starter who doesn't wait to be told what to do next. You anticipate needs, solve problems before they become problems, and keep things moving at all times. You're organized to a fault, proactive by default, and comfortable holding a client accountable: if something's overdue, you say so; if something could be done better, you say so. I want someone who's on top of this at all times — not someone I have to chase.
A plus (not required):
Occasionally I may need help coordinating the hiring of other freelancers/agents for a job-search project. This is a specialized task, not part of the core role — but if you have experience sourcing, vetting, or managing other VAs/freelancers, say so. It's a strong advantage.
What I'm looking for:
- Excellent spoken and written English — a clear, confident phone presence is essential, since you'll be calling US companies
- Strong organization and attention to detail
- Proactive and dependable — you follow up without being reminded
- Comfortable working independently with minimal supervision
- Reliable internet and a quiet space for calls
- Available consistently within the core 10am–4pm EST window
- Familiarity with calendar tools (Google Calendar),
AI proficiency — highly valued
The ability to use AI tools effectively is a strong differentiator. Preference, in order:
- Claude (Anthropic) — highest preference; specific familiarity with Claude is a meaningful advantage
- ChatGPT / OpenAI — highly valued
- Any other AI/LLM tools (Gemini, Copilot, Jasper, etc.) — valued
- No AI experience — considered, but ranked lower
