JOB OVERVIEW

We are seeking a highly organized and proactive Executive Assistant to support a traveling executive primarily based on the West Coast USA. This remote role involves managing administrative tasks, coordinating schedules, social media content creation, video editing, visual content creation, and handling ad hoc assignments. The ideal candidate is detail-oriented, tech-savvy, and capable of working independently in a fast-paced environment.

Key Responsibilities:

Travel and Event Management:

Research and book flights, hotels, and restaurants.

Organize travel itineraries and reservations.

Plan and schedule events or meetings as needed.

Schedule Coordination:

Maintain and update a detailed calendar.

Coordinate and share schedules with the executive’s partner and teaUpgrade to see actual infombers.

Ensure timely reminders and proper alignment of commitments.

Social Media Content Creation:

Use AI tools like ChatGPT to draft engaging posts for LinkedIn, Instagram, and TikTok.

Collaborate to ensure content aligns with the executive's personal brand and goals.

Video Editing & Visual Content Creation:

Perform simple edits on TikTok/Instagram videos, ensuring high-quality and engaging content.

Optimize videos for social media platforms.

Create visually appealing posters, short videos, and other digital assets.

Assist in basic website design and updates as needed.

Ad Hoc Tasks:

Follow up on administrative tasks related to e-commerce operations.

Assist with order fulfillment and customer service inquiries.

Handle miscellaneous assignments as needed to support the executive’s business activities.

Qualifications:

Strong organizational and multitasking skills.

Excellent written and verbal communication.

Proficiency in using AI tools for content creation (e.g., ChatGPT).

Basic video editing skills (experience with tools like CapCut or similar).

Experience with scheduling tools and calendar management.

Knowledge of social media platforms and trends.

Experience in visual content creation (e.g., posters, short videos, website design).

Preferred Skills:

Familiarity with social media analytics.

Creative mindset with an eye for engaging content.

Previous experience supporting a traveling executive or similar role.

Work Style:

Remote role, primarily supporting an USA West Coast-based executive.

Detail-oriented and proactive with excellent time management skills.

Strong ability to work independently and handle confidential information.

Flexible and adaptable to changing priorities.
