JOB OVERVIEW

Position: Full-Time Executive Assistant Ops (Project Manager)
Team: Core Operations (Private LLC Team)
Hours: 40 hrs/week | Preferred Availability: 6am–2pm MT (some flexibility)
Compensation: $1250/month
Location: Remote

About the Role

I’m hiring a highly capable and detail-driven Full-Time Project Manager to be the behind-the-scenes operator that keeps everything moving — so I can show up fully for the clients and teams I serve.
You’ll be hired through my private LLC and work closely with me in my role as Integrator for the company I support. From managing contractors and driving execution to staying on top of systems and documentation, your job is to bring order, clarity, and ---------- ntum to fast-moving initiatives.
This is the first and most important hire for my Core Ops Team — and it’s foundational to how I show up and lead well. You’ll own logistics, help me stay focused, and ensure nothing falls through the cracks.

What You’ll Own

Project Oversight

- Manage multiple projects from automation and design to research and development
- Coordinate contractors, vendors, and specialists to ensure smooth execution
- Track progress, follow up on deliverables, and remove bottlenecks

Inbox & Calendar Management

- Triage and organize inboxes for efficiency
- Schedule meetings across time zones and maintain an aligned calendar

Team Coordination & Hiring Support

- Manage hiring pipelines and help bring on contractors for project support
- Own onboarding and offboarding tasks
- Keep internal communication clean and clear for the Core Ops Team

Systems & File Organization

- Maintain structured and accessible documentation (especially in Google Drive)
- Organize project data, SOPs, and files for easy handoff and reference
- Ensure initiatives are well-documented and searchable

Scheduling & Accountability

- Keep a pulse on all active initiatives
- Follow up on open loops, blockers, and next steps to keep things moving

- Google Suite Pro: You’re confident using Google Docs, Sheets, and Drive and using Google Suite to ensure efficient Project
Management
- Time Zone Aware: You're available for at least a few hours between 5am–9am MT to sync when needed

Bonus: You have skills in tech setup, automation, SOP writing, or financial tracking


Hours & Communication
This role is flexible and remote — I care more about outcomes than hours clocked. That said, some real-time overlap (ideally between 5am–9am MT) helps us move faster. If we’re not connecting live, we’ll rely on Loom videos and async updates to stay aligned.
