We are a growing drug and alcohol rehabilitation company dedicated to helping individuals and families through compassionate care and professional support. We are seeking a reliable, organized, and personable tea ---------- mber to serve as the first point of contact for incoming calls while also supporting daily executive operations.
Position Summary:
The Executive Assistant & Intake Coordinator will be responsible for answering and managing all incoming calls with professionalism, empathy, and excellent communication skills. This role also includes providing administrative and executive support to leadership, maintaining daily logs, running reports, scheduling, and assisting with day-to-day operations.
Key Responsibilities:
Answer all incoming calls promptly and professionally
Communicate clearly and compassionately with clients, families, and referral sources
Gather intake information and direct calls appropriately
Schedule appointments, meetings, and follow-ups
Manage emails, calendars, and executive communications
Maintain organized records and confidential client information
Run daily, weekly, and monthly reports as needed
Maintain accurate daily logs and administrative documentation
Assist executives with administrative tasks and daily operations
Coordinate with staff to ensure smooth communication and workflow
Follow up with leads and inquiries in a timely manner
Provide exceptional customer service and maintain professionalism at all times
Qualifications:
Strong verbal and written communication skills
Excellent phone etiquette and interpersonal skills
Ability to remain calm, compassionate, and professional in sensitive situations
Highly organized with strong multitasking abilities
Experience as an executive assistant, receptionist, intake coordinator, or administrative assistant preferred
Proficient with computers, email, scheduling systems, spreadsheets, and Microsoft Office/Google Workspace
Ability to maintain confidentiality and handle sensitive information responsibly
Dependable, detail-oriented, and self-motivated
Preferred Qualities:
Experience in healthcare, behavioral health, or substance abuse treatment
Strong problem-solving skills and ability to work independently
Friendly, positive, and team-oriented attitude
