Compensation: $6.00–$8.00 USD per hour
Hours: Monday–Friday: 9:00 PM – 5:00 AM Philippines Time (8:00 AM – 4:00 PM CST) | Sunday: 10:00 PM – 12:00 AM Philippines Time for weekend lead report submission
Reports To: Managing Attorney (primary); Integrator (tasking authority)
Start Date: As soon as possible

We are looking for a sharp, organized, and proactive Executive Assistant to help keep our firm running at full speed from wherever you are in the Philippines.

About the Role
The Executive Assistant is the administrative and operational engine behind the firm’s daily functions. You will support firm leadership, keep reporting and tracking current, coordinate with vendors, assist with hiring logistics, and ensure nothing falls through the cracks on the non-legal side of the business. This role requires someone who is proactive, not reactive — someone who identifies problems before they become issues and finds solutions without being asked twice.

This is a long-term role with room to grow. We are not looking for someone to fill a seat. We are looking for someone who will own their lane and deliver consistently.

Required Skills & Technology
The ideal candidate will be proficient, if not well-versed, in the following:
• Microsoft Word — proficient; you will draft correspondence, SOPs, offer letters, and firm documents regularly
• Microsoft Excel — proficient; you will own KPI tracking, check ledger maintenance, and weekly reporting — accuracy and attention to detail are non-negotiable
• Microsoft PowerPoint — proficient; you may be called upon to build or format presentations for leadership and firm reporting
• Procedure Writing — demonstrated experience writing clear, organized standard operating procedures (SOPs); you will draft and maintain firm processes and must be able to translate complex workflows into simple, usable documentation
• SharePoint — proficient; you will own the firm’s digital filing standards and documentation organization across all platforms
• CasePeer and LeadDocket — prior experience preferred; genuine willingness and ability to learn required

What You Will Do
• Own meeting agenda preparation and distribution for all fir ---------- etings; content direction comes from leadership
• Own the weekly KPI tracker; compile, update, and distribute to leadership on schedule every week
• Own Jumbotron data entry and maintenance; submit updated numbers to leadership for review before presentation
• Own the yearly check ledger; update entries upon receiving clearance confirmation from the Office Manager
• Prepare weekend lead reports from LeadDocket and intake data
• Maintain and distribute weekly reporting summaries to leadership
• Draft and format the quarterly firm newsletter; submit to Office Manager for content approval
• Manage vendor communications, follow-up correspondence, and meeting scheduling
• Track vendor deliverables and escalate unresolved items to the appropriate leader
• Coordinate interview scheduling and send candidate confirmations after pre-screening is complete
• Own new hire onboarding logistics checklists and track system access and equipment setup to completion
• Draft offer letters from approved templates for Managing Attorney review and signature
• Track all meeting action items and follow up on completion with responsible parties
• Draft external and internal communications on behalf of leadership as directed
• Draft and maintain firm processes and SOPs as directed
• Coordinate firm event scheduling and logistics
• Manage firm supply tracking and coordinate orders through the appropriate tea ---------- mber
• Handle unemployment response correspondence and documentation
• Own digital filing standards across all platforms; maintain consistently organized documentation
• Work fluently across CasePeer, LeadDocket, Hona, SharePoint, and Microsoft 365

What We Are Looking For
• Minimum 2 years of executive assistant or administrative experience supporting a U.S.-based employer — this is required, not preferred
• Experience in a legal, professional services, or high-volume service environment strongly preferred
• Exceptional written English — professional, clear, and concise in every communication
• Proactive by nature — you identify what needs to be done and do it without waiting to be asked
• Strong with data and reporting — you are accurate, organized, and detail-oriented with numbers and tracking
• Proficient in Microsoft 365 and SharePoint; genuinely willing to learn CasePeer and LeadDocket
• Available to work Monday–Friday, 9:00 PM – 5:00 AM Philippines Time (8:00 AM – 4:00 PM CST); Sunday availability required from 10:00 PM – 12:00 AM Philippines Time for weekend lead report submission; Wednesday meetings occur at 1:00 AM and 3:00 AM Philippines Time and attendance is required

Compensation & Benefits
• $6.00–$8.00 USD per hour based on experience
• Full-time hours (approximately 160 hours per month)
• 13th month pay in accordance with Philippine law
