10xAds is a UK-based creative agency producing AI-powered ad creatives for high-spending e-commerce brands. We work with brands spending $500K-$3M+ per month on Meta ads. We are a small, fast-growing team and need someone to manage the day-to-day operations of our creative pipeline so our strategists and editors can focus on producing winning ads.

**The Role:**

You will be the operational backbone of the agency. You'll manage the creative pipeline from brief to delivery, keep the team on track, and make sure nothing falls through the cracks. This is not a creative role — this is an operations and project management role. You need to be obsessively organised, proactive, and comfortable managing multiple clients and deadlines simultaneously.

**What You'll Do:**

Creative Pipeline Management:
- Receive creative briefs from strategists and assign them to the correct editors with clear deadlines
- Track the status of every ad concept across all clients — from brief to draft to revision to approved to delivered
- Chase editors on deadlines and flag anything at risk of being late before it becomes a problem
- Ensure all deliverables are completed, quality checked, and delivered to clients on time
- Maintain a master tracker showing the status of all active projects across all clients

Client Admin:
- Keep client folders organised (Google Drive) with all briefs, assets, drafts, and approved ads filed correctly
- Prepare weekly progress updates for each client to be shared in Slack
- Schedule bi-weekly strategy calls and send calendar invites
- Collect and organise ad performance data from clients or ad accounts for strategy reviews

Team & Payroll Admin:
- Track editor output — how many ads each editor delivers per week and per month
- Calculate monthly payroll for editors based on output (per-concept or monthly rate)
- Maintain a team tracker showing who is assigned to which client and their current workload
- Flag when a tea ---------- mber is at capacity and we need to hire additional editors

Systems & Reporting:
- Build and maintain operational dashboards and trackers in Airtable or Google Sheets
- Create and improve SOPs for recurring processes (onboarding, brief assignment, delivery, invoicing)
- Track agency KPIs weekly — total ads delivered per client, on-time delivery rate, editor output, client satisfaction
- Help streamline workflows and suggest improvements as we scale

**Requirements:**

- Exceptional organisational skills — this is the number one requirement. If you are not naturally organised, this role is not for you
- Experience with Airtable (strongly preferred)
- Strong Google Sheets / Excel skills
- Excellent written English — you will be communicating with UK and US-based tea ---------- mbers and clients
- Experience managing multiple projects or clients simultaneously
- Proactive communicator — you flag problems before they become emergencies, not after
- Comfortable working independently with minimal supervision
- Reliable and consistent — deadlines are non-negotiable in this role

**Nice to Have:**

- Previous experience working in a marketing agency, creative agency, or media buying team
- Familiarity with Meta ads, ad creative production, or e-commerce
- Experience with Slack, Google Drive, Stripe, and Calendly
- Experience calculating payroll or managing freelancer payments
- Understanding of basic project management principles

**Working Hours:**

We need overlap with UK hours (GMT/BST). Ideally available 9am-5pm UK time or at minimum 12pm-8pm UK time. Some flexibility is fine as long as deadlines are met and communication is responsive during core hours.

Shortlisted candidates will receive a paid test task ($15) — we will send you a sample set of briefs and client data and ask you to build a pipeline tracker, assign the briefs, and flag any issues you see.
