About the Role
This role is the administrative backbone of our construction pipeline. You'll manage the documentation, records, communications, and coordination that keep projects moving smoothly — from preconstruction through to post-handover warranty resolution.
You'll work closely with sales, design, certification, and site teams, ensuring every milestone is tracked, every client is kept informed, and every record is accurate and up to date. Key Responsibilities
• Maintain and update project records across all stages of the construction lifecycle
• Track preconstruction milestones and log progress against checklists in project management systems
• Prepare and distribute weekly client updates through the approval and preconstruction stages
• Process and upload occupation certificate documentation within one business day of receipt
• Log, categorise, and triage incoming defect and maintenance requests by urgency and warranty status
• Coordinate scheduling of subcontractors and suppliers for warranty call-outs and follow through to resolution
• Acknowledge all client correspondence within one business day and maintain professional, empathetic communication throughout
• Produce regular reports on the preconstruction pipeline, open defects, and task completion

What We're Looking For
Essential
• Minimum 2 years in an administration, coordination, or client services role
• Exceptional attention to detail with a strong respect for process and documentation standards
• Clear, professional written communication with clients, certifiers, and internal teams
• Able to manage multiple active files simultaneously without dropping the ball
• Comfortable following up persistently and holding workflows accountable
• Proficient with Microsoft 365 — Outlook, Excel, Teams, and SharePoint
Desirable
• Experience with
• Familiarity with HIA contracts and residential building warranty obligations
• Background in the construction or property industry
• Comfortable using AI tools such as Claude or Copilot to streamline admin tasks
