About the Company:
We are a dynamic construction company specializing in [describe your niche—e.g., residential/commercial builds, renovations, etc.]. Our mission is to deliver high-quality projects while ensuring a smooth and seamless experience for our clients. We are looking for a highly organized and detail-oriented Construction Administrative Coordinator to join our team remotely and play a critical role in managing the client journey from order to delivery and post-delivery support.Client Journey & Order Management:
? Serve as the primary point of contact for clients from order initiation to project completion.
? Ensure all client information, orders, and project details are accurately documented in the CRM.
? Track and monitor client orders, ensuring all necessary documentation is received and organized.
? Communicate regularly with clients, providing updates on project status, materials, and delivery schedules.
Project Coordination & Logistics:
? Work closely with suppliers, vendors, and contractors to coordinate material orders and deliveries.
? Ensure all necessary permits and compliance documents are processed and submitted on time.
? Maintain detailed project timelines and proactively address potential delays or issues.
? Update and manage the Bill of Materials (BOM) for each project.
Post-Delivery Support & Client Follow-Up:
? Ensure seamless handover upon project completion, addressing any client concerns.
? Track client feedback and implement improvements based on their experiences.
? Provide after-sales support and documentation related to warranties, maintenance, or further services.
Administrative & Documentation Tasks:
? Manage digital files and organize client documents efficiently in Google Drive.
? Track and process invoices, contracts, and payment schedules.
? Ensure all records in the CRM and internal systems are up-to-date.
Qualifications:
? Proven experience in administrative coordination, preferably in construction, logistics, or project management.
? Excellent English communication skills (written and verbal).
? Highly organized with attention to detail and the ability to manage multiple projects simultaneously.
? Experience using CRMs, Google Suite (Docs, Sheets, Drive), and project management tools (e.g., Trello, Asana, ClickUp).
? Strong problem-solving skills and the ability to proactively address issues.
? Ability to work independently and collaborate effectively with a remote team.
Bonus Skills:
? Experience in estimating, procurement, or supply chain coordination within the construction industry.
? Background in customer service, account management, or post-sales support.
? Familiarity with construction terminology and industry standards.
